This webinar is the first in our series of Group Questionnaires and 360 Surveys webinars. This enables a series of similar questionnaires to be distributed to a participant using a single survey link invitation.

An example could be a college or university evaluation of courses and modules throughout the year. A single link is sent to each student, which takes them to their personalised evaluation page, allowing the participant to view the page whenever they like.

Group questionnaires are questionnaires that a participant is required to repeat a number of times, once per subject. Prior to completing a group questionnaire, the participant must login in order to load the subjects for the individual. Once a participant has logged into the questionnaire they will see a default page that shows the list of group subjects and status for the survey. The participant selects a group subject and the questionnaire starts for that subject. The subject selection page can be customised to include logos and further instructions.

  1. On the Snap XMP Desktop toolbar, click QuestionnaireIcon.png to open the survey in the Questionnaire window.
  2. Click Questionnaire Properties  QuestionnairePropsIcon.png  to open the Questionnaire Properties dialog.
  3. In Section, select Paradata.
  4. Check that the questionnaire is set up for logins by selecting Participant then select Display in questionnaire, if it is not already selected. This inserts a login question at the start of the questionnaire.

  1. In the Paradata settings, select Survey Index then select Display in questionnaire.

  1. Click OK to return to the questionnaire. The default Survey Index status line is added to the questionnaire, immediately below the login details.

  1. Insert a page break before and after the Survey Index status line as it must be on a page of its own, immediately after the login page.

  1. The status line appears once for each course associated with a student. Edit the text as you wish, making sure you keep the {group subject} and {group status} fields. You can insert text, images and variables which have been seeded from the database into the status line.
  2. When the participant logs into the survey, the subject selection page is selected.

A group questionnaire is a questionnaire that you want your participant to repeat a number of times, once per subject. For example, a participant may be based in more than one office and they need to complete the questionnaire once for each office. The spreadsheet below shows how you can lay out the spreadsheet with one row for each office required.

The participant data file must include a login, which can be an email address, and the subject field. In addition, the data may optionally contain an email address, password and other seeding information, for example, first name used to personalise the email invitations.

When the participants start the questionnaire via the survey link, they are shown a list of the subjects available to them, together with the questionnaire status (started, completed, etc) for each subject. The participant starts each group questionnaire by clicking on the subject.

The responses for all the group questionnaires can be analysed together, so you can make direct comparisons between evaluations of different subjects.

Creating the database link

  1. Open the survey in Snap XMP Desktop.
  2. Click Database Links DatabaseLinkIcon.PNG on the toolbar or select File | Database links to display the Database Links dialog.
  3. Click New to open the Database Linkage Wizard and create a new database link.
  4. Select the Online Invites/Logins/Seeding radio button as the Linkage Type. This is the default option.

  1. Click Next to move to the Select Database page.
  2. Here you can select the link to your participants’ data. This will depend on the format in which your data is stored.
  • Click Select Database File and browse to the Excel or MS Access file containing the participants’ data. This needs to include a unique id, such as a username or login id.

OR

  • Click Build Data Link to build a link to an Oracle or SQL Database with the same information.

  1. The Select the Table to use drop-down automatically displays a table name. If this is not the table you require, select a different table from the list. If you wish to filter the respondents so that this survey is only available to some members of the database, set an appropriate filter in the Where condition box. Click Next.
  2. Select the option Log in respondent. Group questionnaires need to be accessed using a login. Then select a Login field and optionally select a Password field available in the data file.
  3. For Group questionnaires, select Seed database data into questionnaires. Select the Group questionnaire option that is now enabled.

  1. Select the Subject field from the database. This is the field in the participant data file that the questionnaires are grouped by, for example, by office location. Click Next.
  2. To seed (transfer) data from a database field to a question variable in the survey, select the Snap Variable from the drop-down list that matches the Database Field entry.

  1. Single and multiple response questions in Snap XMP Desktop have a code for each possible answer. You can seed data directly into one or more codes. Select the code that you wish to seed for a given value of the database field. The example shows different offices in the database that are seeded into the multiple response question Office.
  2. Click Next. You will see the database link summary.
  3. Enter a name for the link and click Finish.

Setting up a group questionnaire

Group questionnaires are set up in the Upload Participants Wizard.

Your questionnaire needs to include a question that contains the subject, for example, a Multi Choice question listing all the possible Office locations. This can be hidden or read only so the participant does not change it.

  1. Open your survey in Snap XMP Online and from the survey’s Summary navigate to the Collect section.
  2. Select the Participants side menu to view the participants and invitations. The Participants Overview is selected by default.
  3. Click on the Participant list menu item to view the participants.
  4. Click on Upload Participants to open the Upload Participants Wizard.
  5. On the first page, click Select file to add the file with the participants’ data. The accepted formats are CSV and XLSX. Click Next.
  6. In the survey options, select Allow Snap Online to track your respondents for questionnaire seeding then select Seed data into questionnaire.
  7. Select Group questionnaire.
  8. In Subject field, select the spreadsheet column that contains the subject used to group the questionnaire.

  1. After this progress through the wizard in the same way as a standard questionnaire.

After you have uploaded your participants, they are available in the Participant list.

  1. Open your survey in Snap XMP Online and from the survey’s Summary navigate to the Collect section.
  2. Select the Participants side menu to view the participants and invitations. The Participants Overview is selected by default.
  3. Click on the Participant list menu item to view the participants.
  4. The Participant list is displayed in the overview area.
  5. Click the  button at the left hand side of a participant row to expand the information held for the selected participant. The details are split into three sections in the same way as standard questionnaires. The Subject and Questionnaire seeding show the participant data for all subjects.

  1. Click on the arrows to move to a different subject. The Questionnaire seeding updates when the subject changes.

  1. In the Participants list, expand the participant to view the details.
  2. Click on the arrows to move to the subject you want to edit.
  3. Click Edit subject and the Edit Subject dialog is displayed.

  1. Edit the questionnaire seeding and click Save to save the changes.

  1. In the Participants list, expand the participant to view the details.
  2. Click on the arrows to move to the subject you want to edit.
  3. Click Add subject and the Add Subject dialog is displayed.

  1. Add a Subject and edit the questionnaire seeding then click Save to save the changes.

Resetting a subject

  1.  In the Participants list, expand the participant to view the details.
  2. Click on the arrows to move to the subject you want to edit.
  3. Click Reset and the Reset Subject dialog is displayed.
  4. Select Completion Status to reset the selected subject.
  5. Click Reset subject; the completion status is reset for the selected subject.

Deleting a subject

  1. In the Participants list, expand the participant to view the details.
  2. Click on the arrows to move to the subject you want to edit.
  3. Click Delete (subject name) and the Delete Subject dialog is displayed.
  4. Select the checkbox to confirm that you want to delete the selected subject.
  5. Click Delete to delete the selected subject.

Previewing the questionnaire for the selected subject

  1. In the Participants list, expand the participant to view the details.
  2. Click on the arrows to move to the subject you want to edit.
  3. In the Questionnaire seeding section, click Preview Questionnaire. This opens the questionnaire in your web browser with the seeded data for the selected subject.

The preview for all subjects is the same as previewing a standard questionnaire.

  1. In the Collect tab, select Settings. The Overview is shown by default.
  2. In the Web Interviews section, click Launch Preview. This opens your web browser with a test version of the questionnaire.

Changing between a Standard and Group questionnaire

  1. Open your survey in Snap XMP Online and from the survey’s Summary navigate to the Collect section.
  2. Select the Participants side menu to view the participants and invitations. The Participants Overview is selected by default.
  3. Click on the Participant list menu item to view the participants.
  4. Click on Upload Participants to open the Upload Participants Wizard.
  5. Select Replace all participants and click Next.
  6. Click Select file to upload your new participants and click Next.
  7. In the Survey options page, select or clear the Group Questionnaire checkbox, as required, to switch between a standard and group questionnaire. Click Next and proceed through the wizard.
