Setting up quotas and screen outs

You set up the quotas and screen outs in Snap XMP Desktop. You can find how to set up a quota at Setting up Quotas and how to set up a screen out at Setting up Screen outs.

In mobile interviewing, the default message always shows when the quota or screen out meets its target. Mobile interviewing does not use the URL. This is the main difference when using quotas and screen outs for mobile interviewing.

Viewing quotas and screen outs for a mobile survey

  1. In Snap XMP Desktop, create an online survey with your quotas and screen outs. In this example, the survey has one quota and one screen out. The quota collects responses from different age groups. The screen out is set up to interview only people who are 18 years old and over.
  1. In Snap XMP Online, set the survey to allow mobile interviewing.
  2. In Snap XMP Online, publish the survey and start interviewing.
  3. Log into the Interviewer app. The selection page shows the surveys together with the required number of responses and the overall target.

  2. As interviewing takes place, the app stores the number of responses locally. Following synchronization, the server updates the required numbers which include responses added from other sources.

Updating quotas and screen outs for a mobile survey

When an interview takes place, and the interviewer submits the response, the app stores the quota or screen out totals in a local cache on the device. After synchronizing the survey responses, the server sends the updated quota and screen out totals, which include responses to the survey from other interviewers and other editions. No further interviews can take place once the quotas and screen out targets are met. As there is a delay between a mobile interview taking place and the responses synchronizing, this can result in quotas and screen outs exceeding their targets.

Additional information

Submitting partial responses also applies the quotas and screen outs.

You can set up a mobile survey that runs in the Interviewer app and allows the interviewer to save responses and continue later.

The survey must include a Save button for interviewers to be able to resume a saved response at the correct question. You can include a Save button by selecting it in the Buttons section of the Questionnaire properties. The respondent can submit partial responses at a later time and any analysis will include these responses.

This tutorial shows how to include a Save button in your mobile survey using Snap XMP Desktop.  It then describes what happens when the respondents selects the Save button including the options available to the interviewer when managing the partial response. This tutorial assumes that you are familiar with creating and setting up a survey for use with Interviewer. If you are not familiar with this, you can find more information at Setting up surveys for interviewing with the Interviewer app before continuing.

Step 1: Including a save button in your survey

  1. In Snap XMP Desktop, open the survey in the Questionnaire window (Design Mode) and select Questionnaire Properties

  1. The Running partial responses option determines whether the selected survey will keep partial responses. Select this option to allow respondents to save partial responses. Make sure that Allow mobile interviewing is also selected.
  2. Click Save to save the changes.

NOTE: When multiple responses are enabled, partial responses are automatically disabled.

NOTE: Entries made on the current page or single page surveys may not keep partial responses even when Running partials is enabled because a partial response is saved when the respondent progresses to the next page.

Step 3: Saving a partial survey response

  1. Log into the Interviewer app on your device and the app shows the list of survey list available to you. If the survey hasn’t appeared in the list, tap on Sync to update the list of available surveys.
  2. Tap on the survey to start the interview.

Running a mobile interview schedule can involve multiple interviewers who each have a set group of participants to interview. In Snap XMP, you are able to create a mobile survey that requires participants to log in and assign these participants to an interviewer. The interviewers can then use the Interviewer app to conduct mobile interviews for their assigned participants. In Snap XMP, you have the ability to set up a survey for mobile interviewing, upload participants to the survey and assign interviewers to the participants.

Interviewer is an app that connects to Snap XMP Online and downloads surveys and uploads responses to an account on Snap XMP Online.

Step 1: Create the survey

You can create the survey in Snap XMP Online or Snap XMP Desktop. If you would like to include a customised login page, you will need to create the survey in Snap XMP Desktop.

The questionnaire needs to have at least one mobile edition for a mobile phone, tablet or kiosk. We recommended that you create an edition for each type of device that will be used for interviewing.

Step 2: Create a customised login page

When a questionnaire requires a participant to log in, a default login page shows at the start of the questionnaire. This shows a Username and Password field where the participants enter their log in details to complete the questionnaire. In the default login page, the password field always shows even if it not used. In Snap XMP Desktop, you can customize the login page to include branding, images and further instructions. Further information can be found at Creating a custom login page

Step 3: Publish the survey

Once completed, publish the survey in Snap XMP Online or Snap XMP Desktop.

Step 4: Allow mobile interviewing for the survey

Once the questionnaire is completed and published it can be set up for mobile interviewing.

  1. In Snap XMP Online select the survey in Your Work.
CollectTab.PNG
  1. Click the Collect link and the Settings section displays by default.
  2. Click Change Options to open the Interviewing options dialog.
ChangeOptions.PNG
  1. In the Interviewing options dialog, select Allow mobile interviewing in Snap Offline Interviewer. You can now use the survey for mobile interviewing.
InterviewOptions.PNG
  1. Select Sync participants to SOI. This allows participants to log in to a survey during mobile interviewing. This flag must be set to create a logged-in survey.
  2. Click Save to save the survey settings.

Note: If the Sync participants to SOI option is not available contact your system administrator about permission to access this feature.

Step 5: Add shared accounts for the interviewers

You need to share your survey with the interviewer accounts prior to assigning participants to the accounts. Use Snap XMP Online to sharing surveys with an interviewer.

  1. In Snap XMP Online, the first page shown is Your work. Select the survey that you wish to share with the interviewer.
  2. Select the Shares tab in order to share the survey.
AddUser.PNG
  1. Click the Add user button to add the interviewer’s Snap XMP Online account to share this survey.
  2. In the Add user dialog, enter the interviewer’s email account used for their Snap XMP Online account.
  3. Next set the Permissions to Interviewer.
  4. Set Enabled to Yes for the interviewer to have access to the shared item.
  5. Set Manage shares to No if you do not want the interviewer to share the work with other account holders.
Graphical user interface, application

  1. Click Save to add the user. The interviewer has access to use the shared survey to conduct interviews using the Interviewer app.

Step 6: Bulk upload the participants

The Upload Participant Wizard loads a list of participants and associated data from an Excel spreadsheet into the survey. This is a quick way of loading a large number of participants at once.

The spreadsheet needs to contain:

  • Unique participant login which may be an email address
  • Interviewer seeding data with a data column containing the interviewers’ email addresses.
  • Other seeding data with a data column for each survey variable that you want to seed

Note: The interviewers need to be set up prior to bulk uploading the participants or the process will fail. The interviewer may be left blank then edited on an individual basis later in Snap XMP Online. (This is shown in Step 7).

Here is an example of an Excel spreadsheet with participant data.

  1. Click Next. The next page lets you set up seeding.

Set up seeding

  1. Select a spreadsheet column from the Spreadsheet Column list then select the question to seed from the Snap Variable list
  2. Click Add which is next to the row. This adds another row below. Repeat for all the columns you need for your questionnaire seeding.
Graphical user interface, application

  1. Click Next. The overview summarizes the chosen settings for you to review.
  2. Click Upload to upload the participants to the survey. The results are shown when the upload is complete.
  3. The upload process shows an error for any of the interviewers that are not set up as a shared user.

You can upload changes to the participants using the Upload Participants Wizard with options to add new participants only, update participants, replace all participants and delete particpants.

Step 7: Edit assigned interviewers

When you upload the participants list you may not always know the information about the interviewers. This information can be added later individually for each participant. You can also change the interviewer assigned to a participant after the upload.

Note: If a participant is not assigned an interviewer, then any interviewer set up for the survey can complete the interview with the participant. The first interviewer to complete for the participant and sync completes the response.

  1. Open your survey in Snap XMP Online and from the Summary tab navigate to the Collect section.
  2. Select the Participants side menu to view the participants and invitations. The Participants Overview shows by default.
  3. Click on the Interviewers menu item to view the participants and associated interviewers.

Snap XMP supports the ability to record the whole interview using the Interviewer app, with up to one hour of recording time. This can include the questions being asked, as well as the spoken response itself. Once synchronised, you can download the audio file attachments from your Snap XMP Online account. The files will be tagged with a unique ID, allowing you to pair the recording with the submitted data.

Interviewer allows you to record the whole interview. The option to include a Recording variable can be found in the Paradata settings of Questionnaire Properties.

This worksheet explains how to do this and contains some notes on privacy considerations at the end.

Please note: This feature is available for Interviewer surveys only. To record an audio response you will first need to set up a survey designed for the Interviewer app.

Including the Recording Paradata Variable

  1. Open Snap XMP Desktop and create an online survey for mobile interviewing.
  2. Open the Questionnaire Properties menu.
  1. Select the Paradata option from the left-hand pane.
  2. Choose Recording from the list of System Variables and check the Use In Survey box. If you wish to start recording automatically without having to press a button, check the Auto Record box.
  1. Click OK.
  2. Then save the change and publish the survey. Once the survey has been published in your Snap XMP Online account, you can then share it with your interviewer.

Test the survey in Snap Offline Interviewer

  1. Open the Interviewer app, and login to your interviewer’s Snap XMP Online account.
  2. Click on the survey to start a new interview
  3. Press the red record button that appears at the top of the survey to start the recording. If you have the Auto Record option enabled, then this will start the recording upon opening the survey.
  1. The recording is stopped once the survey has been submitted, or if you press the stop button that appears along the top. Note: The survey can only record for a maximum of 1 hour.
  1. Read out the questions in the survey and answer them, to complete the survey.
  2. Press Submit to complete the survey and stop the recording
  3. When the device syncs the response will be uploaded along with the recording to your Snap XMP Online account.

Download the attached files

  1. Login to your Snap XMP Online account.
  2. Click on the survey and select the Collect tab.
  3. Select the Responses option from the left-hand pane.
  4. Then select the Attachments option, you will then see a list of all the attachments that have been submitted.
  1. Each recording has a unique Response ID which is the unique ID assigned to each respondent’s completed data, under the ID.case paradata variable.
  2. You can download a individual recording by clicking on the Response ID link or the unique reference held under the ID.record field. Alternatively, you can download all attachments at once using the Download All Attachments button.
  3. If you then open the survey in Snap XMP Desktop to import the data, you can then match each recording to the unique reference submitted under the ID.record paradata variable.

Recording consent for data protection

As well as providing your participants with the privacy information that you would provide for any other survey, you should ensure that your participants are aware that their responses to the whole survey are being recorded, and that you have a basis for recording their response, such as their consent. For example, you can create a Multi Choice style consent question:

  1. Open your survey in the Questionnaire Window and Design Mode  .
  2. Click into the first title or question field at the top of your questionnaire.
  3. Click   to create a new question.
  4. Select the dropdown list on the toolbar where it says Single Choice and change it to Multi Choice. The shape of the response boxes changes from a radio button to a square.
  5. Click on the field below and Press [Ctrl] + [Shift] + [B] to insert a page break above your new question (alternatively click the right–hand button on the mouse and select Break and Page Break.
  6. In the area marked Click here for text enter your consent request text.
consent request text box

Where you have enabled the recording feature, a green bar appears at the top of the screen to indicate that recording is in progress and what is it that is being recorded.

This feature works best in surveys in the field where an individual interviewer is interacting with the participant, as opposed to kiosk surveys. If you enable the feature for a kiosk survey, make it very clear to participants that the survey is recording and saving what they are saying.

Recording accurate and reliable answers to open questions when surveying face-to-face can be difficult; interviewers may summarise an answer to make the task more manageable, or participants may self-censor answers if they see the interviewer is having difficulty keeping up.

With the ability to record the respondents answer as it is provided, you can easily capture rich qualitative data – expressed in the participants’ own words – with up to one hour recording time per question.

This worksheet describes how to:

  • Configure an open-ended question to record audio
  • Use Interviewer to record participant answers
  • Download audio files

This worksheet contains some notes on privacy considerations at the end.

Please note: This feature is available for Interviewer surveys running on iOS and Android devices only.

Step 1: Configure an open-ended question to record audio

To record an audio response you will first need to set up a survey designed for the Interviewer app that includes an open-ended question. This question can then be configured using a Data Picker to accept an audio response.

  1. Open the survey in Snap XMP Desktop
  2. Create an open-ended style question (Click on the toolbar to add a question and use the drop-down list to set its style.).
  3. Set the second drop-down on the toolbar to Show and change the third drop-down to Data Picker and tick the Show box.
  1. Select Attach Audio. You can also set the colour and size of the mic button which launches the recorder.
  1. Publish and upload the survey to your Snap XMP Online account.

Step 2: Use Interviewer to record respondents’ answers

Start the survey and assign it to your interviewer account. Login to the Interviewer app and click on the survey to start it. When viewing the survey, the mic symbol indicates that the respondent can give an audio response.

  1. Click the mic button to record audio responses
  2. The player will open.
    • Click  red record button  to record
    • Click  stop recording button  to stop recording
    • Click  keep recording button  to keep the recording
    • Click  delete recording button  to delete the recording
  1. Submit the survey response and sync the application to send the response to your Snap XMP Online account.

Step 3: Download audio files

When surveys and data have been synchronised with Snap XMP Online, the summary tab will indicate that survey responses and attachments are available to download. MPEG Audio files are downloaded separately from the survey data. They can be played using an appropriate media player.

  1. Login to your Snap XMP Online account.
  2. Click on the survey to open it.
  3. Select the Collect tab.
  4. Click on the Responses option from the left-hand pane.
  5. Then select the Attachments option.
  1. Here you will see all the attachments that have been synced to the survey in Snap XMP Online. Each attachment is recorded against a unique ‘Response ID’ which is a unique code assigned to each respondent that completes the survey, in the ID.case paradata variable. Each attachment also has a unique reference number, for each attachment question you have within the survey, this enables you to pair the attachment to the original respondent’s data. In the example above, the attachment question is Q1 in the survey, if I create a List Analysis of Q1 I can see the reference numbers, and match the recording to the respondent data.
  2. You can download an individual recording by clicking on the link displayed under the question. Or you can download all attachments for a single respondent by clicking on their Response ID. Alternatively you can download all attachments by clicking on the Download all attachments button.

Recording consent for data protection

As well as providing your participants with the privacy information that you would provide for any other survey, you should ensure that your participants are aware that their responses to a particular question are being recorded, and that you have a basis for recording their response, such as their consent.

Example consent question

For example, you can create a Multi Choice style consent question:

  1. Open your survey in the Questionnaire Window and Design Mode  .
  2. Click into the first title or question field at the top of your questionnaire.
  3. Click   to create a new question.
  4. Select the drop-down list on the toolbar where it says Single Choice and change it to Multi Choice.

You should either specify up front which questions are being recorded or, if you ask for consent to ‘some’ questions being recorded let the participant know when responses are being recorded as you ask the relevant question.

Where you enable the Attach Audio feature , a mic symbol indicates that the respondent can give an audio response.

audio response mic symbol

If the mic symbol is pressed, a recording player opens. If the Record button  red record button  is then pressed it will flash to indicate recording is in progress. At the same time a recording timer at the top of the screen will commence to also signal recording is in progress.

This feature works best in surveys in the field where an individual interviewer is interacting with the participant, as opposed to kiosk surveys. If the feature is enabled for a kiosk survey you would need to make it very clear to participants that their audio is being recorded.

Note that you cannot take photos in the survey on Windows devices, but you can attach a stored photo.

You can tell people to answer a question with a photo or a file attached using a data picker.

When you create an open ended literal question in a survey, you have the option of showing the question with a data picker. If it’s an ‘Offline’ survey, you have the choice of an on-screen keyboard or an ‘attach photo’ option. When the survey is running, you can respond to the question by taking a photo or attaching a file.

Snap XMP Desktop provides the option of limiting the size of the images used in the survey, as large photos can:

  • Take up a lot of space on a device
  • Use a lot of bandwidth
  • Be slow to upload
  • Use a lot of units, as each megabyte of the image will use a response unit. For example, a 10MB image will use 10 units in Snap XMP Online.

Putting the photo question in the survey

This example shows how to add a question to your survey with a photo response.

  1. Open your survey in Snap XMP Desktop.
  2. Click into the ‘Tablet’ or ‘Phone’ edition (Please note that you will need to enable the data picker in each edition of the survey separately, as the change is not mirrored across all editions).
  3. Add an Open-ended style question you your survey (Click on the toolbar to add a question and use the drop-down list to set its style.).
  4. Enter the question text, for example, “Click the icon to attach a photo of the problem”.
  5. Set the second drop down on the toolbar to Show, then select Data Picker in the next drop-down list.
  6. Tick the Show box.
  7. Change the drop-down list on the right from Keyboard to Attach Photo. The icon by the response box will change from an A to a landscape image.
  1. Click Save to save your changes.

Setting the size of the images

Large images can use a lot of memory on a device, be slow to upload, and take up a lot of bandwidth when they are uploaded. Also, in Snap XMP for each megabyte of an attachment, it will use 1 of your allotted units. For example, a 10mb image will use up 10 units.

Once you have set the size, you must publish your survey, upload it to your Snap Online account, enable ‘Offline Interviewing’ and make it available to your Interview Associates.

  1. Click on the Questionnaire window toolbar to open the Questionnaire Properties dialog.
  2. Scroll down and select SOI in the left-hand pane.
  1. By default, the Image Size is set to Medium. You can change this to a Small size or a larger size depending on your needs.
  2. Press OK to save the change.
  3. You can now publish the survey and view it to your Snap XMP Online account. In Snap XMP Online, make the survey available for Offline Interviewing, then share the survey to your interviewers’ accounts. Please see the following worksheet on how this is done: Setting up surveys for interviewing with Interviewer.

Test attaching the images to the survey

Open the survey in the Interviewer app and attach a photo.

  1. Open the Interviewer app on your device
  2. Log into your interviewer’s account
  3. Open the survey containing the question asking for a photo response
  1. Click the photo icon to attach an image. You will then see the Select photo source window, you can choose to take a new photo using the devices camera or upload an existing image.
  1. Once you have selected or taken your image, a thumbnail of it will be displayed on screen. You can use the Remove button to remove the image and take a new one if needed.
  1. Click Submit to complete the survey. You will then need to sync the response from the device to import it into your Snap XMP Online account.

Downloading your attachments

When you have received responses, you must download the attachments from your Snap XMP Online account to examine them.

  1. Login to your Snap XMP Online account and select the survey.
  2. Select the Collect tab.
  3. Click on the Responses tab on the left-hand pane, then select Attachments.
  4. You can then download a individual attachment by clicking on the blue link in the Response ID field to download all attachments for that respondent, or click on the blue link that appears under the question. Alternatively, you can click on the Download all attachments button to download all attachments for all responses.
  1. The Response ID is the unique ID captured for each respondent under the ID.case paradata variable. Each image that is uploaded will be recorded under a reference which will match the reference captured for that response to the attachment question in the survey. For example, if I create a List analysis for Q1 in Snap XMP Desktop, the reference number for Q1, matches the reference number shown in Snap XMP Online.

Each image attachment will have a unique reference, so that you can pair it back to the data for analysis.

The Interviewer is an app that allows researchers to share surveys with the interviewers. The shared accounts for the interviewers are created using Snap XMP Online. When the interviewers log into the Interviewer app, they see the surveys that are assigned to them.

Before you start check that

  • you have created a survey with a mobile edition
  • the interviewers’ Snap XMP Online accounts are available
  • you have installed the latest version of the Interviewer app

The Interviewer app is available for devices that run Apple iOS, Google Android or Windows. Further information on how to install the app is available at:

Snap XMP Online allows you to create shared accounts so you can share selected surveys with clients, colleagues or interviewers. There are four permissions available for a shared account in Snap XMP Online:

  • Researcher gives full access to all sections of the survey: Build, Collect and Analyze
  • Interviewer allows access to use the survey as an interviewer with the Interviewer app, but does not give access to the Build, Collect or Analyze sections
  • Analyst gives permission to share survey results by allowing access to the Analyze section of a survey
  • Analyst plus data download gives the same permission as Analyst with the addition of access to download the survey response data

This tutorial explains how to share your surveys with interviewers.

Step 1: Create a questionnaire with a mobile edition

  1. In Snap XMP Desktop, open the Survey Overview window showing the online surveys.
  2. Click NewIcon.png to create a new survey. This opens a list of survey templates. Select the required template as the starting point for your survey. This example uses the Blank Template provided with Snap XMP Desktop, which contains editions for PC/Laptop, Tablet, Phone and Paper.
  3. Click Next. This opens the New Online Survey dialog for online surveys.
  4. Enter the name, title and folder location then click OK. This opens the Questionnaire window in design mode.
  5. Create the questionnaire design for the phone or tablet edition required. This depends on the device you want to use.

You can also add a phone or tablet edition to an existing survey, depending on the device you want to use.

  1. Open the survey in the Questionnaire window.
  2. Click Editions and Style Templates EditionsIcon.png button then click the New button. This opens the New Survey Edition dialog.
  3. In Edition Name, enter the name that describes this edition.
  4. In Publication Medium, select Snap Online.
  5. Select Load Style then select the mobile style, in this case Default Tablet.qsf.

This tutorial describes how to create and run a survey on a standalone kiosk . This can be on a dedicated kiosk or a laptop, PC or tablet.

Surveys are synchronized online with the kiosk using the Interviewer app. Once synchronized, you can set up the device in kiosk mode and select which survey to run. The device will now only display the selected survey.

The kiosk displays the first page of the survey by default. If someone starts the survey, but does not complete it, the screen resets back to the first page after a specified time. You can choose whether to keep partially-completed multi-page surveys. When someone completes a survey, their response is automatically submitted. You can choose to synchronize responses automatically or on request to the Snap XMP Online server.

This worksheet assumes that:

  • you have created a multi-page online survey with an edition suitable for a tablet or kiosk
  • your device (laptop, tablet, kiosk) has already been set up with the Interviewer app.

When using a tablet to run in kiosk mode, ensure that any buttons are physically inaccessible and disable touch gestures on your device that allow users to go to the home screen. You should also turn off any notifications which might enable people to switch to the app generating the notification.

Step 1: Create a questionnaire with a tablet or kiosk edition

  4. Click OK. This opens the Questionnaire window in design mode.
  5. Create the questionnaire design for the tablet edition to run in kiosk mode.

You can also add a tablet or kiosk edition to an existing survey.

  5. Select Load Style then select an appropriate style, such as Default Tablet.qsf.
  1. Click OK to save the new edition then click OK in the Editions and Style Templates dialog.
  2. Click Save to save the questionnaire with the new edition

When you have completed the questionnaire, publish the survey.

Step 2: Set up Snap XMP Online for mobile interviewing

Mobile interviewing is set up in Snap XMP Online. You can turn mobile interviewing on or off at any time.

  1. Log in to Snap XMP Online and select the survey you want to update.
  2. Navigate to the Collect menu. By default, this displays the Settings section. You can find the Mobile interviewing status in the Overview section.
Mobile interviewing status
  1. Click on the Change options button to display the Interviewing options dialog.
Interviewing options
  1. The Allow mobile interviewing in Snap Offline Interviewer option determines whether the selected survey will allow mobile interviewing in the Interviewer app. Select this option to allow mobile interviewing and clear to turn off mobile interviewing.
  2. Click Save to save the changes.

Step 3: Set up Snap Offline Interviewer for kiosk use

  1. Start the Interviewer app on the kiosk.
  2. Log into your Snap XMP Online account. If you have an Internet connection, Interviewer automatically synchronizes the latest versions of available surveys.
  3. In Interviewer, select the menu using the 3 bars icon on the left hand side.
  4. Select Settings from the menu to view and edit the interviewer settings.
  5. If you are planning to disconnect your device from the Internet while it is unattended, disable Auto-synchronize.
  6. Enable the Kiosk mode. Note: This means that once you start a survey, you will not be able to leave the survey except by stopping Interviewer.
Kiosk mode enabled
  1. Select Survey Settings to edit the survey timeout and submission settings.
  2. Disable the Use survey settings. The survey will use the time-outs set on the device rather than those set on the published survey.
  3. Enable Timeout during survey. Set the Idle timeout to 60. This gives participants time to read a question before they respond.
  4. Disable Submit partial survey. When this is turned on, the responses from participants who do not complete the questionnaire are discarded.
  5. Enable Auto submit last page. Set the Auto submit time to 30. This gives participants time to read the thank you message on the last page before their response is submitted.
  6. Choose whether to change the default Timeout Message. This message is displayed when a participant has started the survey but not answered a question or changed page for the timeout period.
  7. To return to the list, click Back in the top left of the screen.
  8. To manually synchronise all surveys and responses with the server, click Sync.
  9. Select the survey that will run on the kiosk.

Step 4: Stopping a kiosk survey

If you have disabled automatic synchronization, you will have to stop and restart the Interviewer app in order to manually synchronize the survey. You will also need to do this if you wish to change to a different survey.

Stopping the survey on a tablet

  1. Go to the running app screen
  2. Select Interviewer
  3. Close the app. This is dependent on the tablet.

Stopping the survey on a Windows kiosk

  • Enable the keyboard and press the Esc key.
