SurveyPaks are a feature available in Snap XMP Desktop that can help you create surveys quickly and consistently. They consist of pre-designed questions which you can re-use. They are intended to make it easy for you to create surveys by providing standard information and questions.

SurveyPaks may include

  • titles and instructions
  • questions including code frames that can provide standard answers to multi-choice questions and questions in multiple languages
  • surveys or sections of surveys
  • survey templates

The Reference window contains all the SurveyPaks. These are

  • Reference SurveyPak that provides a selection of pre-defined questions, questionnaires and survey templates that can be used in your own surveys. This SurveyPak cannot be edited.
  • User SurveyPak that provides standard topics where you can add your questions, surveys and survey templates. This SurveyPak can be edited.

The Reference SurveyPak contains a number of demographic questions arranged in books. There are three questionnaires: Your Household, Your Employment and About You that use the demographic questions. The Templates topic contains the survey templates that are supplied with Snap XMP Desktop.

The Reference SurveyPak can be used to add individual questions, whole sections or one of the questionnaires to a survey. However, the questions in the Reference SurveyPak cannot be edited. You need to create your own SurveyPak or use the User SurveyPak provided.

This tutorial shows how to use a question in a SurveyPak, create a new SurveyPak and add questions to it, including a translated question.

Use a question from an existing SurveyPak

  1. In the Survey Overview window, select and open the required survey in the Questionnaire window.
  2. Click Reference ReferenceIcon.png on the Snap XMP Desktop toolbar window. This opens the Reference window.
  3. The last used SurveyPak is displayed. This example uses the Reference SurveyPak. If this is not loaded, expand the list of recently used SurveyPaks or click Browse to find the Reference SurveyPak.
  4. Close all other windows except for the Questionnaire window.
  5. Select Window | Tile so that the two windows are arranged side by side on the screen.
  6. Double-click a topic to display its contents. Select the variable that you wish to use. The text is displayed in the bottom part of the window. If it is not visible, click the Show/Hide Preview button.
  7. Drag the variable from the SurveyPak into the questionnaire. As you drag the cursor over the questionnaire it changes from NoEntry.png  to one of these three alternatives:
    • MoveUp.png  insert the new item before this item
    • Add.png  replace this item with the new one
    • MoveDown.png  insert the new item after this one

When you release the mouse button, the new variable drop in the position indicated by the cursor.

Create a new SurveyPak

  1. Select File|New|SurveyPak. This opens the New SurveyPak dialog.

  1. By default, the new SurveyPak has a name based on the SurveyPak you opened most recently and is stored in the same directory. Click the Browse button to choose a new name and/or directory.
  2. Select the default language for your survey.
  3. Change the suggested name of the initial topic folder.
  4. Click OK.
  5. The Reference window opens and displays your new SurveyPak.

Add a question to your SurveyPak

  1. Click Toggle Edit Mode  ToggleEditModeIcon.png on the Reference window toolbar. The toolbar changes allowing editing. Edit Mode appears on the title bar to show that you can edit the SurveyPak.
  2. Drag the variable(s) from the questionnaire window to the place where you would like to store it in the SurveyPak. These can be notes and questions.

The SurveyPak window changes to show the new variable. The changes will be saved automatically. You can now use the variables in other surveys.

Add a translated question to your SurveyPak

If you have a survey in multiple languages, you can add the different versions of the question to your SurveyPak. You must first add the extra languages to your SurveyPak.

  1. Click Toggle Edit Mode  ToggleEditModeIcon.png on the Reference window toolbar to enter Edit Mode.
  2. Select Add Language from the language list. If the drop-down list is not visible, expand the Reference window by dragging the sides.

  1. This opens the Define Language dialog. Select the language you wish to add and specify the reading direction layout if necessary. Select this for a right to left layout or clear for left to right layout. For example, European languages are left to right. If you are adding a new version of an existing language (for example, the child’s version of an adult survey), type the language name as it appears in the questionnaire.

  1. Click OK to return to the SurveyPak.
  2. Drag the item(s) from the questionnaire window to the SurveyPak. The question will be added to all the languages in the SurveyPak.
  3. Check your question has imported by selecting the language in the drop-down list. If there was not a translation for the question already in the questionnaire, you will see the words (Undefined in language).

  1. You can edit the question by double-clicking it to open the Variable Properties dialog. You can change:
    • the Label (the name that appears in the SurveyPak
    • the Text (the question text)
    • the codes for multiple choice questions

  1. Click OK when you have made your edits.

If you add the question to a survey, it will add the appropriate version of the question to the languages that are in the survey and the SurveyPak.

There are two SurveyPaks supplied with Snap XMP Desktop. These are

  • Reference SurveyPak that provides a selection of pre-defined questions, questionnaires and survey templates that can be used in your own surveys. This SurveyPak cannot be edited.
  • User SurveyPak that provides standard topics where you can add your questions, surveys and survey templates. This SurveyPak can be edited.

When a survey template is added to the User SurveyPak or another user-defined SurveyPak it becomes available in the list of User Templates. These can be selected from the New Survey template dialog when creating a new survey.

All survey templates are added to a user-defined SurveyPak from the Offline Surveys section of the Survey Overview window.  If you need to add an online survey template to the available list of user templates, you need to clone it as an offline survey in the Survey Overview window first. 

Create a SurveyPak

  1. Click Reference ReferenceIcon.png on the Snap XMP Desktop toolbar. This opens the Reference window.
  2. Select the User SurveyPak or create a new SurveyPak. Further information can be found at Managing SurveyPaks.
  3. Click Toggle Edit Mode ToggleEditModeIcon.png to allow the SurveyPak to be edited. This enables the editing toolbar.
  4. Select the Templates label then click Import Template. This opens the file selection dialog.
  5. Select the survey template file. Template files have the extension .tmdf.
  6. Click Open. This opens the Embedded file properties dialog.

  1. Edit the Name and the Details fields. The information you type for the name appears in the SurveyPak tree view. The details appear in the SurveyPak preview pane.
  2. Click Add to add an image that is used in the New Survey dialog to identify the survey template when creating a new survey. Browse to the image file, select it then click Open. The image will be shown in the SurveyPak preview pane.
  3. Click OK. This opens the Maintain Embedded File dialog. This ensures that the survey template is updated to your current release of Snap XMP Desktop and that all personal data is removed from the survey template before it is embedded. Leave all boxes checked and click OK.

  1. If any changes were made (eg, email addresses removed or the survey updated) a summary report is displayed.
  2. The survey template is added to the SurveyPak and is displayed in the list of Templates.

The Survey Constructor Wizard allows you to build a survey based on a survey in a SurveyPak. The survey may be an embedded survey that you have added or a survey template.

SurveyPaks can contain one or more survey templates. These are a quick and easy way of building a survey containing pre-defined questions.

Survey templates contain editable fields (such as titles, instructions etc.) that you can change when you create the survey. They consist of a set of titled sections, which you can choose to include or not. Some surveys have sections containing required sections that you may not omit.

If the survey is supplied in multiple languages, or output editions, you can specify which editions you create in your survey.

When you have created a survey from a survey template, it is just like any other survey and you may edit it. If you choose to do this, you need to ensure that you are keeping to any survey requirements that have been specified by government or another organisation.

When constructing a survey from a survey template, you can select which non-compulsory sections and questions are added to the survey. You can also specify the content of survey fields (for example, the title).

When constructing a survey from an embedded survey, you get an identical survey to the one in the SurveyPak.

Constructing a survey from an embedded survey

  1. Open the Reference window and select the SurveyPak that contains the embedded survey that you wish to use.
  2. Double click the survey to start the wizard.
  3. The Survey Constructor dialog opens. Enter the name for the survey that you are going to create and click Next>.
  4. If the survey has multiple editions you have the options of selecting which edition(s) will be created. Clear or check the edition boxes as required.
  5. You will be given a list of the questions in the survey. When you click on a question in the left-hand pane, information about it is displayed in the right-hand pane.
  6. When using an embedded survey, all questions in the survey are used. If you wish to use individual sections, you must create your own questionnaire and sections within the SurveyPak.
  7. You will be presented with a summary screen describing the survey and displaying a preview. Click Finish. Your new survey opens by default.

The Survey Constructor Wizard allows you to build a survey based on a survey in a SurveyPak. The survey may be an embedded survey that you have added or a survey template.

  1. Open the Reference window and select the SurveyPak that contains the survey template that you wish to use.
  2. Double click the survey template to start the wizard.
  3. The Survey Constructor dialog opens. Enter the name for the survey that you are going to create and click Next>.
  4. If the survey has multiple editions you have the options of selecting which edition(s) will be created. Clear or check the edition boxes as required.
  5. You will be given a list of the questions in the survey template. When you click on a question in the left-hand pane, information about it is displayed in the right-hand pane.
  6. Review the questions and consider whether you will use them all in your survey. Required sections have their check box greyed out.
  7. Check the boxes for the sections that you wish to add to your survey. If no boxes are available to check, then all sections are compulsory. When you have finished, click Next>.
  8. You will be presented with the custom field page. This is where you can tailor the survey to your own needs.

The top half of the window contains the fields you can change; the bottom half of the window contains a brief description of the type of information needed (for example, instructions on how to return the survey). Fill out the fields as you require, and click Next>.

If there is no default information for a field, it is left blank in the template. If you do not complete it, you will be warned about this when you click Next>.

  1. You will be presented with a summary screen describing the choices you made when creating the survey. Click Finish. Your new survey opens by default.

If there were template fields in your survey, they will be shown in curly brackets. Template fields that have a value will have the value displayed in blue, whereas template fields that need a value have the template field name displayed in red.

Double-click a template field to open the Tailor template field dialog to change the values in the template fields.

Opening a SurveyPak
  1. Open the Reference window by clicking ReferenceIcon.png on the main toolbar or select File|Reference.
  2. It shows, when opening, either the default or the most recently selected SurveyPak or offline survey.
  3. You can see all the recently viewed SurveyPaks and/or offline surveys in the currently selected directory from the drop down list.
  4. To change directory, click Browse.
  5. The Open Reference dialog opens. Here you can choose a new directory, SurveyPak or survey. The Files of type field contains options to view SurveyPaks and Surveys, SurveyPaks or Surveys. Only offline surveys will be shown.
  6. Select the SurveyPak or survey and click Open to load into the Reference window.

  1. Select File|New…|SurveyPak. The New SurveyPak dialog appears.

Adding a password

Once you have defined your questions, you may wish to prevent other people from editing them by using a password to protect the SurveyPak.

  1. In the Reference window select the SurveyPak.
  2. Click Toggle Edit Mode ToggleEditModeIcon.png to enable the editing toolbar.
  3. Click Set Password PadlockIcon.png on the edit toolbar. This opens the Set Password dialog.
  4. Select Protect SurveyPak with a password to enable the password fields.
  5. Enter the passwords and click OK. Once you have added a password, you can remove it by clearing the box and re-entering the password.

Editing questions

When you create your own SurveyPaks you can change the questions in them.

  1. Open the SurveyPak you wish to change.
  2. Click ToggleEditModeIcon.png to enter Edit mode.
  3. Select the question you wish to change.
  4. Right-click the question within the SurveyPak and select Properties. The Variable Properties dialog for that SurveyPak variable appears:

You can change any of the details: the texts, the response type, the style and the number of variables.

Embedding a survey in a SurveyPak

You can embed existing surveys in a SurveyPak. This allows you to distribute a SurveyPak with the master copy of a survey. Users can then repeat it or adapt it to their own requirements.

  1. Open a reference window containing the SurveyPak that you wish to add the survey to.
  2. Click ToggleEditModeIcon.png to edit the SurveyPak.
  3. Select the Surveys entry and click NewSurveyIcon.png (or right-click and select Import survey…).

  1. You can then browse for the survey to embed. Select the survey and click Open.
  2. The Embedded file properties dialog opens.

Adding a code frame

A code frame is a set of question codes that has no question or label text. You can create code frames by

  • creating a question within a questionnaire that has no question text or grid label text, and then dragging that into the SurveyPak
  • dragging a normal question into the SurveyPak and then converting it to a code frame

Converting a question to a code frame

  1. Open the SurveyPak you wish to add the code frame.
  2. Click ToggleEditModeIcon.png to enter Edit mode.
  3. Select the question within a questionnaire in Snap and drag it into the SurveyPak.
  4. Right-click the question within the SurveyPak and select Properties. The Variable Properties dialog for that SurveyPak variable appears.
  5. Change the value for Code Frame from No to Yes. This will clear the Label and Text fields.
  6. Click OK.

Note that this cannot be undone. Changing the Code Frame value back to Yes will not recreate the Label and Text fields.

Organising questions

You can arrange SurveyPaks as libraries of variables. You can group them into topics, questionnaires, or sections. You can use the same question multiple times in the same SurveyPak.

Moving questions within the SurveyPak

  1. Toggle ToggleEditModeIcon.png to go into Edit mode.
  2. Either drag selected variables to a containing folder (topic, questionnaire or section)

or

Select the item to move and use the toolbar buttons UpArrowIcon.png to move it up within a topic, DownArrowIcon.png to move it down within a topic or MoveToTopicIcon.png to move it between topics, or reference the question from another topic. Referencing the question means that the same question will be used in multiple places. It is not copied.

The Reference window displays the variables within a survey or SurveyPak in a format that allows them to be copied to other surveys. Each variable is tagged with an icon identifying its type.

The Reference window consists of:

  • a toolbar
  • a pathname of the selected SurveyPak or survey
  • a list of available variables (notes and questions), surveys and survey templates
  • SurveyPak variables are displayed in Topics and the display may be limited by filters
  • a preview of the highlighted variable

  • selecting File|Reference
  • pressing Alt+F12

You can create and edit your own SurveyPaks. Managing SurveyPaks provides more information on creating your own SurveyPaks. Once created, you can add questions to SurveyPaks and sort the contents into different topics. There is further information on this topic at Questions in a SurveyPak.

If you’re looking for a particular question in a SurveyPak you can search for it using a filter. This allows you to search for one or more words or sets of words anywhere in the question text. You can use several filters at the same time and keep the filtered results until you close the SurveyPak or the Reference window.

SurveyPaks can also include survey templates. Survey templates make it easy to create surveys. They are useful when you need to create surveys containing questions required by legislation or when creating surveys with multiple editions and multiple languages. These questions and editions will be included automatically when a survey is created.

The Reference SurveyPak includes system survey templates that are available when creating a survey. When a survey template is added to the User SurveyPak or another user-defined SurveyPak it becomes available in the list of User Templates. These can be selected from the New Survey template dialog when creating a new survey.
