The Page Setup dialog allows you to set the report page margins, headers, footers and printer options. You can also set default fonts for each area of the report. The setup covers all reports within the survey, including smart reports listed in the Reports window, or a print report on details of the survey, such as, variables or weights.

Page Setup dialog

You can open this dialog from the menu File|Page Setup or click Setup on any Print Report dialog . You can also click the Page Details on the Tailoring|Reports dialog.

Set the printer or print to file

The available options are:

  • Printer setup to change printer settings such as type of printer and page orientation
  • Margins and border to change the distances between the edge of the page, the drawn border and the analyses.
  • Header and footer to change the contents of the headers and footers.
  • Fonts to set the default font used in the title, details, header and thumb.

Click the relevant button to change the settings. Select Page Numbers Omitted to print the report without page numbers, even if they are in the headers or footers.

When you have completed the setup, click OK to save the changes.

Printer setup

Printer Setup allows you to change printer settings such as type of printer and page orientation (portrait or landscape). The Printer Setup dialog depends on the currently installed printer. You can choose to print to a printer or create a PDF file.

  1. Click Printer Setup to open the Print Setup dialog.

  1. Select the printer in the Name drop-down list. Click Properties to set the properties and advanced options for the selected printer. The options available are dependent on the selected printer. Click Network to add a network printer.
  2. Choose the paper size and orientation.
  3. Click OK to save the changes and return to the Page Setup dialog.

Setting margins and borders

Margins and border change the distances between the edge of the page, the drawn border and the analyses.

  1. Select Margins and Borders and click the Margin/Border button to open the Report Borders dialog

  1. Click OK to save the changes and return to the Page Setup dialog.

Adding headers and footers

You can add additional text and graphics to the header and footer of the first page and/or the subsequent pages.

  1. Click the Header/Footer button to display the Headers/Footers dialog.

  1. Select the boxes to display the headers and footers on the first page and/or subsequent pages.
  2. The header and footer each consist of the three areas (left, centre and right). The header/footer may contain:
    • free format text
    • images
    • variable fields
    • survey fields
    • date and time of printing or publication
  3. To insert a field click Insert and choose from Image, Variable Field, Survey Field or Date/Time Field from the menu. You can also select a Survey Field from the drop-down list in the top left corner in the dialog toolbar.
  4. Use the format buttons and fields at the top of the dialog to set the font name, size, style and colour. You cannot change the justification in each area.
  5. Click OK to save the changes and return to the Page Setup dialog.

Default fonts

The fonts section sets the default font used in the title, details, header and thumb.

Print report

The behaviour of the Print Report command is different for each active window. The layout of the printed report is controlled via a Page Setup dialog and depends on the type of report being printed.

Before you can create or view the online surveys in Snap XMP Desktop you will need to set up a link with a Snap XMP Online user account. You will need to enter your Snap XMP Online account details to link the surveys created in this Snap XMP Online account to Snap XMP Desktop.

  1. Close any open surveys in Snap XMP Desktop using File/Close Survey.
  2. Click the Tailor menu and click Online Account to open the Log in to Snap XMP Online dialog.

  1. In the Select Server section there are two options
    • Select Snap XMP Online if your account is run by Snap Surveys. Select the Snap XMP Online server to log in.
    • Select Own Server if your organisation is running Snap XMP Online on their server. Select the server URL to log in.
  2. In the User Details section enter the Email Address and Password to connect to the server.
  3. Check Remember my credentials if you would like the Password to be remembered every time you use Snap XMP Desktop.
  4. Click OK to log in to the online surveys via Snap XMP Desktop.

General considerations

You may leave out speech marks, but they are always required if the value contains either a space or a forward slash ‘/’. Note that “snap desktop.exe” contains a space, and so must appear within quotes.

Speech marks are always double quotes, single quotes are not supported.

Most options ignore case; however the case-sensitive options are: /y, /Y, /DB “dbLink”, and /V “dbLink” where the correct case has to be used for the “dbLink” name.

Return values

The program returns 0 if the command line is successful.

Filter expressions are logical Boolean expressions. The general format of filter expressions is:

  • one or more question variables
  • one or more numbers
  • one or more pieces of text enclosed in quotation marks (This is called a text string)
  • a complete expression enclosed in braces

You may also apply a pattern to the operand, for example, to search for dates within a specific range

Snap Interchange Format (SnIF) is a format used to transfer reports between surveys in Snap XMP Desktop. For example, if you have several surveys that all use the same reports, you can create them in one survey, exported into a SnIF format file and then imported into the other surveys.

The following example shows exporting reports from a survey to a file. You can also export the reports via the clipboard.

  1. Click Reports  ReportsIcon.png  on the Snap XMP Desktop toolbar. This opens the Reports window.
  2. Select the menu option File | Export to display the Report Export dialog.

  1. Specify the Format as SNAP Interchange Format (SnIF).
  2. Set the Destination as File.
  3. In Content, specify the names of the reports you wish to export, for example, RP1, or leave the field blank to export all reports.
  4. Click OK to export the selected report(s).
  5. A confirmation message displays when the export is complete. Click Done.
  6. Select File | Close Survey to close the current survey. Open the survey that you plan to add the reports to.
  7. Click Reports  ReportsIcon.png  on the Snap XMP Desktop toolbar. This opens the Reports window in the new survey.
  8. Select File | Import to display the Report Import dialog.
  9. Set the Source to File and enter the file name of the export. Click OK to import the report(s).

In Snap XMP Desktop, you can export and import a survey and its data.

Transferring a survey from Snap XMP Desktop to SPSS

In Snap XMP Desktop, you can export surveys in a format for importing into SPSS. This format is for use with SPSS version 7.4 and above.

  1. Select the survey in the Survey Overview Window,
  2. Select File | Export to display the Survey Export dialog.
  3. Set the Format to SPSS Data Format (SAV).
  4. In the Destination section, File is selected. Either use Browse to specify the file name and path or type the details into the field.
  5. Click OK to export the variables to the specified file. This file is available for use in SPSS.

  1. For surveys that contain data, you have the option to transfer the data as well.

Note: When Snap XMP Desktop exports its codes, the SAV export does not deal with No Reply codes, therefore SPSS is left with a value of zero and a blank code label. SPSS does have missing values, so you will currently need to go through every single variable and specify 0 as a No Reply.

Note: If you export a survey from Snap XMP Desktop to SPSS and then import it back into Snap XMP Desktop, it will not appear in the same format as the original due to the different ways Snap XMP Desktop and SPSS operate.

Note: SPSS does not deal with multiple response questions in the same way. Each element of the question is single response. The conversion therefore provides a variable set containing the grouping (e.g. Q4 would become Q4_1, Q4_2, etc after the conversion) and you will need to specify the grouping in SPSS.

Transferring a survey from SPSS to Snap XMP Desktop

Surveys created in SPSS version 6.1 and above can be imported and used in Snap XMP Desktop.

  1. From the Survey Overview Window, select File | Import to display the Survey Import dialog.
  2. Set the Format to SPSS Data Format (SAV).

  2. Click OK then enter the name of the new survey.
  3. Click OK to import the variables into the survey.
  4. For surveys that contain data, you have the option to transfer the data as well. Click Yes to import the data.

Note: SPSS does not deal with Multiple Response questions in the same way as Snap XMP Desktop. In SPSS each element of the question is set up as a Single Response and the grouping indicated by the variable name (e.g. Q4z1 and Q4z2 would be the first two codes of Q4). To create a Multiple Response question you will need to create a new Derived Multiple Variable and set up the codes within it.

Transferring a survey from Snap XMP Desktop to another survey analysis package

Snap XMP Desktop is able to export the contents of a survey in a format that other survey analysis packages can import and read. This format is called triple-s and has been developed as a standard interchange format. Snap XMP Desktop will also import triple-s format files from other survey analysis packages.

Note: Some survey packages do not yet support the triple-s XML version, in which case you should use triple-s Format 1.0 or 1.1, depending on your survey package.

  1. Select the menu option File | Survey Overview to open the Survey Overview Window
  2. Select the survey to be exported.
  3. Select the menu option File | Export to display the Survey Export dialog.
  4. Specify the Format as triple-s XML (SSS) v2.0.
  5. Specify the Destination as File. Enter the file name or click Browse to select the file location.

  1. If you wish to export case data, select a data format from the Case Data drop-down list. The data will be exported to a file with the same file name as the survey export file but with a different extension.
  2. Click OK to perform the export.

Transferring a survey from another survey analysis package to Snap XMP Desktop

Snap XMP Desktop can import files from other survey analysis packages using the triple-s format, which is a standard interchange format.

  1. From the Survey Overview Window, select File | Import to display the Survey Import dialog.
  2. Specify the Format as triple-s Format (SSS). Specify the Source as File. Clicking Browse allows you to view and select the file containing the survey to be imported.

  1. Click OK then enter the name of the new survey.
  2. Click OK to import the survey details.
  3. For surveys that contain data, you have the option to transfer the data as well.
  4. Click OK then enter the data file. By default it will be set to an .asc file in the same location as the triple-S survey file that you are importing.

Questionnaires can be exported from Snap XMP Desktop in the following ways

  • Using the clipboard
  • Exporting to a file

These can be used to export the questionnaire into a report; either as a picture in a word-processing package, or into a slide show generated in a presentation package.

Exporting a questionnaire to a word processing package

Snap XMP Desktop can be used to export the questionnaire in Rich Text Format. This can be imported into a word processing package for any necessary editing.

  1. Select the menu option File | Export. This opens the Questionnaire Export dialog.
  2. Specify the Format as Rich Text Format (.RTF).

  1. Specify the Destination as File. Specify a file name with the .rtf extension if you wish to export to the Snap folder. You can choose other file names and select different locations by clicking [Browse].
  2. Click OK to export the questionnaire to the specified file.
  3. Switch to the word processing software.
  4. Select File | Open and open the rtf file you have just created.
  5. The questionnaire is held in Rich Text Format, allowing you to change the text, styles and layout in the word processing package.

Exporting the questionnaire as a picture

You may wish to include an image of the questionnaire as part of your reports. To do this you will need to export the questionnaire as a picture (.emf file).

  1. Select the menu option File | Export. This opens the Questionnaire Export dialog
  2. Specify the Format as Enhanced Metafile (.EMF).

  1. The Destination is fixed as File. Either use Browse to specify the file name and path or type the details into the field.
  2. Click OK to export the questionnaire to the specified file.
  3. If your questionnaire has more than one page, a separate file is created for each page, automatically inserting a number at the end of the file name you have selected.
  4. The images can be inserted in the Snap XMP Desktop report using the Insert button and selecting Image.

Moving a questionnaire to another Snap survey

If you wish to transfer your questionnaire contents and layout from an existing Snap survey into a new survey, then you need to export the questionnaire using the SnIF option.

  1. Select the menu option File | Export. This opens the Questionnaire Export dialog.
  2. Specify the Format as SNAP Interchange Format (SnIF).
  3. Specify the Destination as Clipboard or File. Specify a file name with the .sif extension if you wish to export to the Snap folder. Alternative file names can be entered and locations can be selected using Browse.

  1. The Include source variables option allows you to export dependants of the questionnaire (e.g. derived variables).
  2. Click OK to export the questionnaire to the specified file or the clipboard.
  3. Close the original survey.
  4. In the Survey Overview window, select the import survey.
  5. Select the menu option File | Import. This opens the Questionnaire Import dialog.
  6. Specify the Format as SNAP Interchange Format (SnIF). If the destination previously specified was Clipboard then select it again. If File was chosen originally, then click on Browse to locate the file.

This tutorial covers how to create a survey template with your organisation’s branding including logos, colours and fonts. To help with this Snap Surveys has provided a Branded Template Builder for Snap XMP Desktop. This archive file can be downloaded by clicking the following link.

Once downloaded, extract zipped file to use.

Restore the Branded Template Builder

  1. In the Survey Overview window, select Offline Surveys OfflineSurveysIcon.png .
  2. Click Restore RestoreIcon.png . This opens the Restore survey dialog.
  3. Browse for the archive file Branded Template Builder – Snap XMP.adf and click OK. This restores the template and selects it in the Survey Overview window ready for use.

Making the Branded Template Builder available in Snap Online

  1. In the Survey Overview window, select the Branded Template Builder template in the Offline Surveys OfflineSurveysIcon.png .
  2. Clone the offline template as an online template.
  3. Update the thumbnail for the Branded Template Builder template in Snap Online.

What’s included in the Branded Template Builder

The Branded Template Builder is a survey containing

  • Four editions for PC/Laptop, Tablet, Phone and Paper:Keyed
  • English language
  • Logo placeholder
  • Standard question styles that are supplied with Snap XMP Desktop with a question included for each question style in the questionnaire

Adding your organisation’s branding

This section covers the common areas where you can set up your organisation’s branding in a survey template. There are many more areas that you can apply branding, Introduction to Survey Templates shows more ideas. Remember to apply these changes to all the editions of the questionnaire.

  1. In the Survey Overview window, double-click the Branded Template Builder survey to open in the Questionnaire window.
  2. Click Style Mode StyleModeIcon.png . This mode allows you to change the appearance of all the questions with a question style. Use this mode when adding any branding to the questionnaire.
  3. In the Question Style list, select the group of questions that will be updated with the style change. For example, when a Single Choice question is selected you can choose to update all questions that are Single Choice, all questions that are multi choice type questions, or all styles. You may choose a different group of questions for each style change.
  4. Make sure all the questions are named styles and do not have ‘Like’ in the title. ‘Like’ styles happen when you make a formatting change to the question without being in Style Mode. If there are any in the questionnaire, re-assign the style back to a standard style using the Style Organizer when in Style Mode.

  1. Once you have updated the survey template with the branding, click Save SaveIcon.png to save the changes.

Question box colours

You can change the check boxes to the branded colours by selecting the Boxes topic. If you want to change the box colours on all questions, select ‘All Styles’ in the Question Style list then click the Images button to change the colour.

You can change the box style of drop down or open ended questions using the Boxes dropdown. In the Question Style list, select the group of questions that you want to update.

Navigation Button Style

The style and colour of the navigation buttons can be changed in the Questionnaire properties. Click Questionnaire properties QuestionnairePropsIcon.png then select Buttons. Click Design to display the Navigation Design where you can change the appearance of the buttons. We recommend that the Progress bar remains grey and the Submit button is set to green.

Change the logo

In the Questionnaire window, double click the logo placeholder. This opens the Image Properties dialog where you can browse for the logo image file. Ensure that the image is the right fit for each edition.

Update the font style and colour

Make any changes to the font, such as font face, size, style and colour by selecting the question style then selecting the Font topic. When editing Font styles, note that making changes to All Styles will also apply those changes to the Titles, Sub Titles and Instructions. It is therefore advised that these changes are made to each Question Style.

Customise the web page shown on submission

There are a number of options available in Questionnaire properties QuestionnairePropsIcon.png that you may like to review, including the Submit section where you can specify where participants will be directed to after they have pressed submit

Link to your organisation’s information

Add in any standard questions, introductions or hyperlinks that are to be built into the survey each time the template is used. These may include links to privacy policies, instructions on how to complete the questionnaire, demographic questions and thank you messages. You can find further information on inserting hyperlinks at Using HTML.

Creating the Survey Template

The Branded Template Builder survey now contains your organization’s branding. The next step is to create the survey template from the Branded Template Builder survey.

  1. In the Survey Overview window, click Clone CloneSurveyIcon.png to create a copy of the Branded Template Builder – Snap Desktop survey and give it a relevant name, such as My Organization Survey Template – Desktop
  2. Open the cloned survey in the Questionnaire window and click Design Mode DesignModeIcon.png .
  3. Edit the text of the Title, Sub Title and Q1 so they become place holders. You may include other questions if you want them to be available by default when you create a new survey using the survey template.

  1. Delete all the other questions that are not displayed by default every time a new survey is created. That is, remove most of the other questions but leave any standardized text and questions, such as introductions, privacy statement and hyperlinks.
  2. Select the PC / Laptop edition then click Publish PublishIcon.png then in Method, select Preview Only. This ensures the PC / Laptop edition is the one that becomes the default when you create a survey from the survey template.

  1. Click Save SaveIcon.png to save the survey.
  2. In the Survey Overview window, select the survey then click Archive ArchiveIcon.png . Complete the archive dialog and click OK to archive the survey.
  3. Select the survey and click File | Save As Template to create the survey template. (Remove the auto-generated number 1 at the end of the name.)

Testing

Before using the survey template, test the branding appears as required and check that images and branding work for all editions.

  1. In the Survey Overview window, right-click on the survey template and select Create Survey.
  2. In the New Survey dialog, enter the name, title and any other details for the survey.
  3. Click OK and this will display the survey in the Questionnaire window.
  4. Check that all the questions are shown as expected in each edition.
  5. Add a number of questions in different question styles.
  6. Save the questionnaire.
  7. Publish the survey and check that it displays on a PC, a tablet and a phone without any scrolling left and right.

Adding the survey template to a SurveyPak

Once you have created and tested the survey template you can add it to the User SurveyPak supplied with Snap XMP Desktop or your own SurveyPak. This lets you select the survey template from the list of User Templates when you create a new survey in the Survey Overview window and in Snap XMP Online. Backing up your survey and the data responses is an essential part of managing your surveys and helps to prevent loss of data in case of any problems. Backups of surveys created in Snap XMP Desktop can be performed with or without the response data.

We highly recommended that you archive a survey when it is published then archive it regularly throughout the life of the survey so that you can restore it to a particular state. Another good time to archive a survey is prior to making major changes, when you should archive the survey with its associated data.

In Snap XMP Desktop, there are two types of survey; online and offline surveys. This tutorial shows you how to archive and restore both online and offline surveys.

In this tutorial, complete the steps shown in Summary of steps for the type of survey you are using.

Summary of steps

Step 1: Archiving a survey

Both online and offline surveys can be archived. An archive file (.adf) is created and saved to the archive file name entered. You can choose to archive the survey with or without the raw response data.

  1. Open the Survey Overview SurveyOverviewIcon.png window on the main Snap XMP Desktop toolbar.
  2. On the Survey Overview toolbar, click Online Surveys OnlineSurveysIcon.png to show the online surveys or click Offline Surveys 6.OfflineSurveysIcon.png to show the offline surveys.

  1. If you can’t find the survey you want to move, click Browse to locate your offline survey. When you find the folder containing the survey, select it and click open.
  2. In the Survey Overview window, select the survey that you want to archive. For an offline survey, if the survey is not in the list, click Browse to locate your offline survey. When you find the folder containing the survey, select it and click open.
  3. For online surveys, right-click to show the pop-up menu and select Archive or for offline surveys, click Archive ArchiveIcon.png on the Survey Overview toolbar. This opens the Archive Survey dialog.

  1. A default file name and path are automatically generated. You can change these by entering a new file name or clicking Browse to locate a file.
  2. In Options, select Include Raw Data to archive the raw response data. The archive file will include both the survey and raw response data.
  3. If you have archived the survey before, you are asked whether you want to replace it. Click Yes to replace the file.
  4. A message confirming the survey has been archived is displayed. Click OK.

Step 2: Restoring an offline survey

All archived survey files are restored as an offline survey. The restored survey can then be cloned as an online survey, if required.

  1. On the Survey Overview toolbar, click Offline Surveys 6.OfflineSurveysIcon.png to show the offline surveys.

  1. If you can’t find the survey you want to move, click Browse to locate your offline survey. When you find the folder containing the survey, select it and click open.
  2. In the Survey Overview window, select the offline survey that you want to restore.
  3. Click Restore RestoreIcon.png to access the Restore survey dialog.
  4. The Archive File Name defaults to the last archive file name used. If this is not the correct file, click Browse to find the required archive file.
  5. Select Survey Definitions to restore the survey. Select Raw Data to restore the response data.

  1. Click OK. If the survey already exists in the current directory, select which action to carry out. Rename, to create a new copy of the survey; Overwrite to overwrite the existing survey and Cancel to return to the Restore survey dialog.

  1. A confirmation message is shown when the survey has been restored from the archive. Click OK to finish.

Step 3: Cloning an offline survey as an online survey

Only complete this step if you are restoring an archive of an online survey.

  1. On the Survey Overview toolbar, click Offline Surveys 6.OfflineSurveysIcon.png to show the offline surveys.
  2. On the Survey Overview toolbar, click Clone CloneSurveyIcon.png to create a copy of the offline survey. This copy is used to move your offline survey to an online survey, leaving the original offline survey untouched.
  3. In the Clone Survey dialog, select Online surveys to create the clone as an online survey. Select Also clone the raw data, if you want to transfer the survey with a copy of all the raw response data.

  1. Click OK and the New Online Survey dialog is displayed. In the New Online Survey dialog, you can change the name of the survey and select the folder location for your online survey.
  2. Enter the survey name, if required.
  3. Select the folder where your online survey will go.

  1. Click OK. An information bar is displayed while the survey is cloned. Once complete the Survey Overview window switches to the online survey view with the new survey selected.
  2. You can now delete the offline version in the Offline surveys list.

Edit a survey template

Once a survey template is created it can be edited using the Questionnaire window.

  1. Click Survey Overview SurveyOverviewIcon.png on the Snap XMP Desktop toolbar. This opens the Survey Overview window.
  2. Select Online surveys 5.OnlineSurveysIcon.png or Offline surveys 6.OfflineSurveysIcon.png depending on the location of the survey template.
  3. Select the survey template.
  4. Right click and select Edit Template from the menu. This opens the Template details dialog.
  5. Click OK. This opens the questionnaire window to edit the survey template in the same way as a questionnaire. Note that the Data Entry window is not available for a survey template.
  6. Click Save to save any changes to the survey template.

Delete a survey template

A survey template can be deleted in the Survey Overview window. Surveys created using the survey template do not require it after the survey is saved.

  1. Click Survey Overview SurveyOverviewIcon.png on the Snap XMP Desktop toolbar. This opens the Survey Overview window.
  2. Select Online surveys 5.OnlineSurveysIcon.png or Offline surveys 6.OfflineSurveysIcon.png depending on the location of the survey template.
  3. Select the survey template.
  4. Right click and select Delete Template from the menu. This opens the Delete template dialog.

  1. Select the options, Template file and/or Temporary back up files, to delete.
  2. Click Delete then click Yes to confirm that you want to delete the template.

Rename an online survey template

This is only available for online survey templates.

  1. Click Survey Overview SurveyOverviewIcon.png on the Snap XMP Desktop toolbar. This opens the Survey Overview window.
  2. Select Online surveys 5.OnlineSurveysIcon.png and select the survey template.
  3. Right click and select Rename Template from the menu. This changes the name to an editable field in the Survey Overview window.

  1. Enter the new name and press Enter to save.

Synchronising an online survey template

Synchronisation is a method of transferring information between Snap XMP Desktop and Snap XMP Online. This keeps the survey templates and surveys as well as other data up-to-date in both Snap XMP Desktop and Snap XMP Online. This is only available for online survey templates.

  1. Click Survey Overview SurveyOverviewIcon.png on the Snap XMP Desktop toolbar. This opens the Survey Overview window.
  2. Select Online surveys 5.OnlineSurveysIcon.png and select the survey template.
  3. The Download 11.DownloadSurveyIcon.png and Upload 12.UploadSurveyIcon.png menu options are used to synchronize the template with Snap XMP Online. They are located on the Survey Overview toolbar.
  4. Select Download 11.DownloadSurveyIcon.png from the toolbar to download the latest version of the survey template from Snap XMP Online.
  5. Select Upload 12.UploadSurveyIcon.png from the toolbar to upload the latest version of the template to Snap XMP Online.
  6. A progress bar displays the status of the Download or Upload.

Snap XMP Desktop comes with two SurveyPaks supplied. These are

  • Reference SurveyPak provides a selection of pre-defined questions, questionnaires and survey templates for use in your own surveys. You cannot edit this SurveyPak.
  • User SurveyPak provides standard topics where you can add your questions, surveys and survey templates. You are able to edit this SurveyPak.

When you add a survey template to the User SurveyPak or another user-defined SurveyPak, you can see it in the list of User Templates. When creating a new survey, you can choose a survey template from the User SurveyPaks as the starting point of the survey.

All survey templates are added to a user-defined SurveyPak from the Offline Surveys section of the Survey Overview window.  If you need to add an online survey template to the available list of user templates, you need to clone it as an offline survey in the Survey Overview window first. 

Adding a survey template to a SurveyPak

  1. Click Reference ReferenceIcon.png on the Snap XMP Desktop toolbar. This opens the Reference window.
  2. Select the SurveyPak or create a new SurveyPak. Further information can be found at Managing SurveyPaks.
  3. Click Toggle Edit Mode ToggleEditModeIcon.png to edit the SurveyPak. This enables the editing toolbar.
  4. Select the Templates label then click Import Template. This opens the file selection dialog.
  5. Select the survey template file. Template files have the extension .tmdf.
  6. Click Open. This opens the Embedded file properties dialog.

  1. Edit the Name and the Details fields. The information you type for the name appears in the SurveyPak tree view. The details appear in the SurveyPak preview pane.
  2. Click Add to add an image that is used in the New Survey dialog to identify the survey template when creating a new survey. Browse to the image file, select it then click Open. The image will be shown in the SurveyPak preview pane.
  3. Click OK. This opens the Maintain Embedded File dialog. This ensures that the survey template is updated to your current release of Snap XMP Desktop and that all personal data is removed from the survey template before it is embedded. Leave all boxes checked and click OK.

  1. If any changes were made (eg, email addresses removed or the survey updated) a summary report is displayed.
  2. The survey template is added to the SurveyPak and is displayed in the list of Templates.

Note: The survey template is fixed once it is added to the SurveyPak. The survey template cannot be edited and does not update in line with the survey template used for the import.

Creating a new survey using a User Template

When a survey template is added to a user-defined SurveyPak it becomes available in the list of User Templates that can be used when creating a new survey.

  1. Click Survey Overview SurveyOverviewIcon.png on the Snap XMP Desktop toolbar. This opens the Survey Overview window.
  2. Select Online surveys 5.OnlineSurveysIcon.png or Offline surveys 6.OfflineSurveysIcon.png depending on the survey required.
  3. Click  1.NewSurveyIcon.png  to create a new online survey. This opens the New Survey dialog.
  4. The first step is to choose a survey template as the starting point for the new survey. You can choose between Snap Templates that are provided with Snap XMP Desktop or User Templates that are user-defined. In the Choose a template list, select User Templates.
  5. This displays all the survey templates added to user-defined SurveyPaks. Select the User Template.

  1. Click Next. This opens the New Online Survey dialog for an Online survey or the New Survey dialog for an Offline survey.
  2. In the Name field, enter the name used to identify the survey.
  3. In the Title field enter the title.

  6. Click OK to save the survey.

You can create a survey using a survey template in the Survey Overview window. The survey uses the selected template.

  1. Click Survey Overview SurveyOverviewIcon.png on the Snap XMP Desktop toolbar. This opens the Survey Overview window.
  2. Select Online surveys 5.OnlineSurveysIcon.png or Offline surveys 6.OfflineSurveysIcon.png depending on the survey required.
  3. Select the survey template then right click and select Create survey. This opens the New Online Survey dialog for an Online survey or the New Survey dialog for an Offline survey.
  4. In the Name field, enter the name used to identify the survey.
  5. In the Title field enter the title.
  6. For an Online survey you have the option to select the folder as the location for the survey.
  7. For an Offline survey you have the option to enter any comments.
  8. Click OK to save the survey.

Note: A survey can also be created in the Reference window using a survey template in a SurveyPak.

A survey template is a powerful tool that can be used to quickly build a questionnaire with consistent branding, question styles, editions, languages and other questionnaire properties.

Survey templates provide the following features:

  • set the colors, fonts, and other aspects of the look and feel of the questionnaire
  • set the editions that are included in the questionnaire
  • set up a questionnaire with multiple languages
  • set the question styles available in a survey created with this template
  • include specific questions that you want included in all surveys created with this template
  • set questionnaire properties, such as buttons and landing pages that you want included in all surveys created with this template
  • include survey logic , such as routing with any included questions
  • include analytics and reports associated with any included questions

There are 2 types of survey templates:

  • Snap Templates
  • User Templates

Snap templates are supplied with Snap XMP Desktop and Snap XMP Online. They are included in the Reference SurveyPak supplied with Snap XMP Desktop. When a new survey is created the first step is to select a template from the list of available survey templates. This list includes all the supplied Snap Templates. There may also be User templates available if these have been set up.

User templates are user defined survey templates. These can be added to a SurveyPak which includes the user survey template in the list of available survey templates shown when creating a new survey.

Style and branding

Setting the style and branding for your organisation in a survey template help to provide a consistent look in every survey created with the same survey template. You can create different survey templates for different requirements, making it easier and more efficient to set up a survey without having to remember the correct branding for each situation.

Survey templates are edited using the Questionnaire window. All the functionality that you use to build your questionnaire is available to style a survey template.

  • Adding a logo and other images
  • Font selection, size and style including bold, italic, underline
  • Text colors and highlighting
  • Background color and graphics
  • Using the same color palette across the survey including questions, analyses – charts, tables and word clouds, as well as reports
  • Questionnaire layout including where questions are positioned, number of columns and spacing

Questions

The appearance of the questions can be changed to reflect an organisation’s branding:

  • Set the colors of the question text, background, border, numbering
  • Set the font selection, size and style including bold, italic, underline for the question text
  • Set the style of check boxes by adding custom images
  • Set the color of data picker icons
  • Set the positioning, margins and column layout of questions
  • Set question styles to change the appearance of all questions with that style

Questions that are included in a survey template are automatically added to a survey when it is created using the survey template. This is used to

  • include standard questions that are always asked
  • show standard sets of instructions
  • create a custom login page

Derived Variables

Certain calculations may be used in the organisation and required for each survey. Derived variables can be added to the survey template to include them each time a survey is created, removing the need to create the derived variables for each survey.

Questionnaire properties

Setting the questionnaire properties provides further opportunity to customise the branding in the survey template.

  • set the landing pages when the  participant submits or saves the questionnaire
  • set the button and progress bar style, color and layout
  • set the page or screen size and layout
  • include accessibility options

Editions

All the editions that are set up in the survey template will be available in a survey created using the survey template. For example, setting up a survey template with all the online editions such as phone, tablet, kiosk, laptop and PC with the appropriate screen sizes, ensures that surveys are created that can work on any device.

Languages

All the languages that are set up in the survey template will be available in a survey created using the survey template. This can make sure that any legal requirements are met by including the required languages, such as English and Welsh or English and Spanish.

Analyses and Reports

Standard analyses and reports can be created. Any analyses and reports that are included with the survey template can only include the questions and variables that are set up in the survey template.

An online survey is saved in a database that is accessed by both applications. Online surveys can be updated by different users of Snap XMP Desktop and Snap XMP Online and are synchronized to keep them in step.

What is synchronized?

When changes are made to a survey, the data that is synchronized includes the

  • Questionnaire when it is created in Snap XMP Online
  • Publishing details
  • Interviewing details
  • Response data

When is it synchronized?

Synchronizing the surveys takes place in Snap XMP Online when you

  • Load or reload your online survey, folder or Your work
  • Save an online survey’s questionnaire

Synchronizing the surveys takes place in Snap XMP Desktop when you

  • Open the online surveys in the Survey Overview window.
  • Upload an online survey
  • Download an online survey
  • Click the Synchronize button
  • Save an online survey’s questionnaire

Upload a Survey from Snap XMP Desktop

When you have made changes to a survey you can upload the survey to make sure it is available in Snap XMP Online.

  1. In the Survey Overview window select OnlineSurveysIcon.png to view the online surveys.
  2. Select the survey that you have updated and would like to upload.
  3. Click the UploadSurveyIcon.png Upload Survey button.

Download a survey to Snap XMP Desktop

Before you start making changes to a survey in Snap XMP Desktop you can make sure you have the latest version of the survey by downloading it.

  1. In the Survey Overview window select OnlineSurveysIcon.png to view the online surveys.
  2. Before you download you can check the status of your surveys by clicking the RefreshIcon.png Refresh button to see which surveys are Out of date.

The Synchronize button on the main menu is available for online surveys only. This button synchronizes the online surveys.

  1. Click on the Synchronize button or use the File/Synchronize menu option to synchronize your work.
  2. A status bar is displayed while Snap XMP Desktop is synchronizing. The Synchronize button detects changes when
    • Changes are made to an open online survey in Snap XMP Desktop.
    • Any variable property, analysis, reports and analysis variables associated with an online survey are updated.
    • New responses are found for an open online survey.

Synchronize Your work in Snap XMP Online

There are two ways to update the surveys in Snap XMP Online.

  1. Click on Your work to refresh the Your work side menu and Summary.

  1. Click on the Build, Collect or Analyze tab of your survey to reload the survey with the latest questionnaire and responses.

Online surveys are available in both Snap XMP Online and Snap XMP Desktop.

Online surveys are automatically synchronized between the two applications when a survey is

  • Published
  • Interviewing started
  • Collecting responses

The information is available to view and edit in Snap XMP Desktop and Snap XMP Online, regardless of the application used to publish, start the interviewing process or collect responses.

The responses that are collected through interviewing can be viewed in Snap XMP Online or Snap XMP Desktop. The responses can come from online, mobile, kiosk and paper sources. As these responses arrive they are saved with the other cases. The case data is available to analyze in both Snap XMP Online and Snap XMP Desktop.

Survey templates are used as the starting point when creating a survey in Snap XMP Desktop and Snap XMP Online. A number of pre-defined survey templates are provided including the default Blank Template. You can also create additional online templates in Snap XMP Desktop.

  1. In Snap XMP Desktop, open the Survey Overview window.
  2. Click OnlineSurveysIcon.png to view the Online Surveys.
  3. Select the survey that will be the basis of your survey template.

  1. Select File|Save as Template to display the New Online Template dialog. A default survey template name and folder are entered in the dialog. You can change these before saving. In our example the name is “Conference survey template” and the location is “Demo Folder”.

Upload Template Thumbnail in Snap XMP Online

In the Summary section of a survey template, you have the option to upload a thumbnail image. This can help users identify the survey template when they are creating a new survey.

  1. Select the survey template in Your work to display the Summary.

Printing a list of offline surveys

You can print the survey details of a selected survey, or a report of the surveys held in the current folder. This can be useful as a permanent record before surveys are archived or deleted.

  1. Click SurveyOverviewIcon.png or select File | Survey Overview to display the Survey Overview window.
  2. If you want to print the details of a specific survey, select it in the window.
  3. Click PrintIcon.png to display a Print Survey Details dialog.

  1. Specify a Title for the report if required.
  2. Choose the style of report you want:
    • Select Detailed to print a report on the currently selected survey. This will include dates of creation, last update and last used, together with number of cases, verified cases, variables, weights and reports. (The same information displayed in the Survey Details dialog.)
    • Select Summary to print a listing of all surveys in the current folder. This includes the survey name, title, variables, cases and the date that the survey was last used. (The same information displayed in the Survey Overview window.)
  3. Click Print to produce your report using the current printer.

Print report

The behaviour of the Print Report command is different for each active window.

Variables window Print a summary or detailed list of the variables and the case counts in the survey. You can select which variables are included in a detailed list

Analyses window Print a detailed list or summary of all analyses defined in the survey
Analysis window (table, chart, map, list) Print the specified analysis using the appropriate analysis and break details
Analysis variables window Print a summary of the specified analysis variable

The layout of the printed report is controlled via a Page Setup dialog. This is dependent on the type of report being printed.

You can move questions between surveys without putting them in a SurveyPak by exporting them from one survey and importing them into another survey.

You can save the exported variables as a SnIF file or on the clipboard. Files are better for large amounts of data, but saving to the clipboard is quicker if the data size is small to medium.

Exporting variables

  1. Open the survey you wish to export the variables from
  2. Click VariablesIcon.png to open the Variables window.
  3. Select the menu option File | Export to display the Variable Export dialog box. Specify the Format as Snap Interchange Format (SnIF).

  1. Set the Destination as Clipboard. If you are saving a very large amount of data, you may need to save to a file instead.
  2. In the Content field, specify the names of the variables to be exported, for example, N4, Q6a to Q6e.
  3. Click OK to export the selected variables. A confirmation message appears to show that the export process is completed.

If you select the Include source variables option, variables which are associated with those listed in the Filter field are exported as well. For example, if you exported a derived variable and selected Include source variables, then the original variable(s) that form the basis of the derived variable would be exported as well. The same applies to variables containing routing.

Importing variables

  1. Open the survey that you wish to add the variables to.
  2. Click VariablesIcon.png to open the Variables window.
  3. Select the menu option File | Import to display the Variable Import dialog box.

  1. Set the Source to the place where you exported your variables.
  2. Check the options Generate new variable names and Generate new variable positions to ensure that you do not overwrite any existing variables.
  3. Click OK.
  4. The new variables will be added to the survey with the original label, length and sequence.

When deleting a survey you can:

  • delete all variables, reports and weights
  • delete the survey data responses
  • delete the temporary backup files

It is recommended that the survey is archived before deleting the survey or the survey data. Further information is available at Archiving and restoring a survey.

These instructions show how to delete a survey:

  1. Click Survey Overview SurveyOverviewIcon.png on the Snap XMP Desktop toolbar. This opens the Survey Overview window.
  2. On the Survey Overview toolbar, click Online Surveys OnlineSurveysIcon.png to show the online surveys or click Offline Surveys 6.OfflineSurveysIcon.png to show the offline surveys.
  3. Select the survey you wish to delete. Online surveys are also deleted from Snap XMP Online keeping the online surveys synchronized in both Snap XMP Desktop and Snap XMP Online.
  4. Click Delete survey DeleteSurveyIcon.png on the Survey Overview toolbar, to delete the survey and optionally the data responses.
  5. When deleting a survey, you can:
    • delete all variables, reports and weights (.mdf file)
    • delete the survey data, if available (.rdf file)
    • delete the temporary back up files (.mdo/.rdo file)
  6. Select the components of the survey that you wish to delete and click Delete.

Backing up your survey and the data responses is an essential part of managing your surveys and helps to prevent loss of data in case of any problems. Backups of surveys created in Snap XMP Desktop can be performed with or without the response data.

Back-ups of a survey and its response data are done using the Archive and Restore option in the Survey Overview window. Archive creates a back-up of the selected survey. Archived surveys are stored in files with the extension .adf (Archived Data File). Restore uses the archived survey file to create or update a survey with the backed-up version.

Archive and Restore are only available for offline surveys. When backing-up an online survey it must be cloned as an offline survey first. Further details of cloning are available at Cloning a survey.

Archiving a survey

Both online and offline surveys can be archived. An archive file (.adf) is created and saved to the archive file name entered. You can choose to archive the survey with or without the raw response data.

  1. Open the Survey Overview SurveyOverviewIcon.png window on the main Snap XMP Desktop toolbar.
  2. On the Survey Overview toolbar, click Online Surveys OnlineSurveysIcon.png to show the online surveys or click Offline Surveys 6.OfflineSurveysIcon.png to show the offline surveys.

  1. If you can’t find the survey you want to move, click Browse to locate your offline survey. When you find the folder containing the survey, select it and click open.
  2. In the Survey Overview window, select the survey that you want to archive. For an offline survey, if the survey is not in the list, click Browse to locate your offline survey. When you find the folder containing the survey, select it and click open.
  3. For online surveys, right-click to show the pop-up menu and select Archive or for offline surveys, click Archive ArchiveIcon.png on the Survey Overview toolbar. This opens the Archive Survey dialog.

  1. A default file name and path are automatically generated. You can change these by entering a new file name or clicking Browse to locate a file.
  2. In Options, select Include Raw Data to archive the raw response data. The archive file will include both the survey and raw response data.
  3. If you have archived the survey before, you are asked whether you want to replace it. Click Yes to replace the file.
  4. A message confirming the survey has been archived is displayed. Click OK.

Restoring an offline survey

All archived survey files are restored as an offline survey. The restored survey can then be cloned as an online survey, if required.

  1. On the Survey Overview toolbar, click Offline Surveys 6.OfflineSurveysIcon.png to show the offline surveys.

  1. If you can’t find the survey you want to move, click Browse to locate your offline survey. When you find the folder containing the survey, select it and click open.
  2. In the Survey Overview window, select the offline survey that you want to restore.
  3. Click Restore RestoreIcon.png to access the Restore survey dialog.
  4. The Archive File Name defaults to the last archive file name used. If this is not the correct file, click Browse to find the required archive file.
  5. Select Survey Definitions to restore the survey. Select Raw Data to restore the response data.

  1. Click OK. If the survey already exists in the current directory, select which action to carry out. Rename, to create a new copy of the survey; Overwrite to overwrite the existing survey and Cancel to return to the Restore survey dialog.

  1. A confirmation message is shown when the survey has been restored from the archive. Click OK to finish.

Cloning an offline survey as an online survey

Only complete this step if you are restoring an archive of an online survey.

  1. On the Survey Overview toolbar, click Offline Surveys 6.OfflineSurveysIcon.png to show the offline surveys.
  2. On the Survey Overview toolbar, click Clone CloneSurveyIcon.png to create a copy of the offline survey. This copy is used to move your offline survey to an online survey, leaving the original offline survey untouched.
  3. In the Clone Survey dialog, select Online surveys to create the clone as an online survey. Select Also clone the raw data, if you want to transfer the survey with a copy of all the raw response data.

  2. Enter the survey name, if required.
  3. Select the folder where your online survey will go.

  2. You can now delete the offline version in the Offline surveys list.

Cloning a survey or template creates a new survey or template, which is identical to the original one. You can modify the cloned survey or template, which is useful if you repeat a survey on a month by month or year by year basis.

When a survey or template is copied all the details of the variables, analyses, reports and weights are copied to the new item. There is an option to choose whether the response data is copied to a new survey.

A survey or template can be cloned as online or offline . This can be used prior to archiving.

Cloning as an offline survey or template

In Snap XMP Desktop there are two types of survey; online surveys and offline surveys.

  • Online surveys
  • Offline surveys

Online surveys are surveys that are available in both Snap XMP Desktop and Snap XMP Online. They can be organised in folders that are shown in both applications. The online surveys are kept up to date and the response data synchronized between the two applications.

Offline surveys are surveys that are available in Snap XMP Desktop only.

Both types of survey are listed in the Survey Overview window and can be opened using the following instructions:

  1. Click Survey Overview SurveyOverviewIcon.png on the Snap XMP Desktop toolbar. This opens the Survey Overview window.
  2. Select Online surveys 5.OnlineSurveysIcon.png or Offline surveys 6.OfflineSurveysIcon.png depending on the location of the survey template.
  3. For an online survey, click > to expand the folder containing the survey, if required.
  4. For an offline survey, if the survey is not in the current folder click Browse to find the required folder then click Open.
  5. Open the survey by double clicking on its name in the list. Alternatively click on the survey name once to highlight it and then click EditSurveyIcon.png or press Enter to open the survey.

  1. The Survey Details dialog is displayed. This shows the name, title and other notes for the survey. The survey name cannot be changed but the Title and comments can be edited, if required. The Survey Details dialog shows a summary of the survey.

  1. Click OK. The Survey Overview window closes and, by default, the questionnaire opens in the Questionnaire window. This is indicated in the title bar. The survey can now be used.

Setting the default window when opening a survey

You can customise the start up settings to choose which window is displayed when you open a survey.

To select a window to open when you start a new survey:

  1. Select Tailor | Advanced
  2. Click the General tab
  3. Select the Initial window to display drop-down list.
  4. Select the window you would like to display. The Default setting opens the Questionnaire window.

In Snap XMP Desktop there are two types of survey:

Online surveys are surveys that are available in both Snap XMP Desktop and Snap XMP Online. They can be organised in folders that are shown in both applications. The online surveys are kept up to date and the response data synchronized between the two applications.

Offline surveys are surveys that are available in Snap XMP Desktop only.

Both types of survey are available in the Survey Overview window. The Survey Overview window shows the available surveys and survey templates:

A survey template is shown with TemplateListIcon.png icon.

Both types of survey can be created, cloned or deleted in the Survey Overview window.

Online Surveys

The online surveys are shown when Online Surveys OnlineSurveysIcon.png is selected in the Survey Overview window. This shows the list of folders, online surveys and online survey templates.

The surveys and surveys templates are organised in the folders with Your work as the top level folder. Click > to expand a folder. This shows the details of the surveys and survey templates in the selected folder. New folders can be created by right clicking a folder then select the New Folder menu. The new folder is created as a sub-folder of the selected folder.

Double click an online survey to open the survey. Alternatively click a survey to select it then click Open survey on the Survey Overview toolbar.

Online folders, surveys and survey templates can be renamed. Right click the item then select the Rename menu. This allows you to edit the name. Press Enter to save the new name.

The Survey Overview toolbar has Download and Upload buttons to synchronise the folder, surveys and survey templates with Snap XMP Online. Further details can be found at Synchronizing online surveys.

The Snap XMP Online account can be set up and changed. Further details can be found at Setting up the online survey framework.

Column Description

Name

Each survey has a unique name. This may comprise letters or digits.

The icon TemplateListIcon.png represents a survey template. SurveyListIcon.PNG represents a standard survey

Title A title defined when the survey was created. This can be changed in the Survey Details dialog. It may be referenced in analyses.
Variables The total number of variables for the survey is shown on the survey overview. Each question in a questionnaire is also a variable. There may be extra variables to perform calculations on the data.
Cases Each completed questionnaire is referred to as a case. The total number of cases for the survey, including deleted cases, is shown in the survey overview.
StateThe state shows whether the survey has been published, interviewing has started or the survey is closed.
Status Indicates if the survey needs to be updated from a previous version or if there is a problem with the survey.

Offline Surveys

The offline surveys are shown when Offline Surveys is selected in the Survey Overview window. This shows the list of offline surveys and offline survey templates.

The pathname below the toolbar shows the selected folder. You can change this by clicking Browse.

The display pane shows a list of all surveys and survey templates in the current folder, together with summary information for each one. Click on a column heading to have the list sorted by the contents of that column.

Double click an offline survey to open the survey. Alternatively click a survey to select it then click Open survey on the Survey Overview toolbar.

You can back-up surveys using archive and restore. Further details can be found at Archiving and restoring a survey.

Column Description

Survey

Each survey has a unique name. This may comprise letters or digits.

Buttons and menu options

The Survey Overview window allows you to manage and view your surveys.

OnlineSurveysIcon.png    Show all your online surveys linked to the Snap XMP Online account.
OfflineSurveysIcon.png    Show all your offline surveys created in Snap XMP Desktop.
NewSurveyIcon.png Edit – New Ctrl + N Create a new survey. The survey name can consist of a maximum of 253 characters (letters or numbers). Snap will not allow you to create duplicate survey names.
CloneSurveyIcon.png Edit – Clone Ctrl + O Copy the survey definition and questions or variables to a new survey of a different name. The raw data cases can also be copied.
DeleteSurveyIcon.png Edit – Delete Del Delete the current survey. When deleting a survey you have the option of deleting all variables, reports and weights and/or the raw data (if available). In file terms these two options are the entire MDF file or the RDF file.
EditSurveyIcon.png Edit – Modify Ctrl + M Open and view an existing survey. First select a survey with a single click before pressing the button. Alternatively double click on the required survey, or press ENTER having first highlighted the required survey.
Online Surveys
DownloadSurveyIcon.png   Download the survey from the Snap XMP Online account. When the survey is Out of date you can retrieve the latest version of the survey.
UploadSurveyIcon.png    Upload the survey to the Snap XMP Online account to make sure your changes are available in Snap XMP Online.
RefreshIcon.png    Refresh the online surveys and folders, showing any changes to the online surveys by displaying Out of date/Up to date status.
AccountIcon.png Tailor – Account   View and edit the online account details via the Log in to Snap XMP Online dialog.
Offline Surveys
ArchiveIcon.png File – Archive Survey   Creates a compressed copy of the survey definitions, with or without the raw data.
RestoreIcon.png File – Restore Survey   Restores the survey definitions and/or raw data of an archived survey.
PrintIcon.png File – Print Report Ctrl +Shift + F12 Produce a full or summary report of all the surveys in the Survey Overview. An optional title can be added to the report.

Creating an online survey

Your Snap XMP Online account must be set up before you can use online surveys in Snap XMP Desktop. Further details can be found in Setting up the online survey framework.

  1. Click Survey Overview SurveyOverviewIcon.png on the Snap XMP Desktop toolbar. This opens the Survey Overview window.
  2. Click Online Surveys 5.OnlineSurveysIcon.png on the Survey Overview toolbar to show the online surveys.
  3. Click 1.NewSurveyIcon.png to create a new online survey.
  4. Choose one of the survey templates as a starting point for the new survey. If there are user-defined survey templates available you can choose User Templates or Snap XMP Templates.
  5. The last used survey template is chosen by default. When you first use Snap XMP Desktop, the Blank Template is selected as the default. This creates a survey with editions for PC/laptop, tablet, phone and paper. Select the survey template and click Next.

  1. In the New Online Survey dialog, enter a name for the survey and select the folder to add the survey. Click OK.

Creating an offline survey

  1. Click Survey Overview SurveyOverviewIcon.png on the Snap XMP Desktop toolbar. This opens the Survey Overview window.
  2. Click Offline Surveys 6.OfflineSurveysIcon.png on the Survey Overview toolbar to show the offline surveys.
  3. Click 1.NewSurveyIcon.png to create a new offline survey.
