Email invitations and reminders

Email address fieldThe database field that stores the participants’ email addresses.
Font formattingChoose the font type, size, format and colour for the selected text in the Invitation or Reminder.
Email subject and textEnter your email subject in the top pane and the message in the lower field.
InsertEnter an HTML field, the survey location, a field from the database containing information specific to the participant or a survey opt out link. The survey location link is mandatory.
InvitationEnter the email invitation text and insert any fields required, including the survey location, which is mandatory.
ReminderEnter the email reminder text. By default, this is the same as the Invitation text. The survey location link is mandatory.
Automatically log into surveyThe link to the survey location automatically logs in the participant, and they do not need to enter their login details.
Show a login pageThe participant must enter their login details before they can start the questionnaire. The Participant paradata variable identifies the participant when they click the link.
Use HTML emailsSelect this option if you want to use HTML in your emails. Clear this option to send plain text emails.

The variable mapping dialog allows you to specify which database field maps to a Snap variable. If you are mapping a database field to a single or multi-response variable in Snap you can seed data directly into one or more codes. This is shown in the picture above. When a multi-response variable is selected, the available codes appear in the lower pane.

The questionnaire seeding page is displayed if you have selected Import from or Export to a database. It is also shown if you have selected Seed database data into questionnaires when setting up the options for online surveys.

Instructions to map variables

  1. To seed (transfer) data from a database field to a question variable in the survey, click in the area to the right of the field and select the survey variable from the drop-down list.

  1. Single and multiple-response questions in Snap XMP Desktop have a code for each possible answer. You can seed data directly into one or more codes.

Mapping database fields and field values to the survey variables
  1. Select the code that you wish to seed for a given value of the database field. The example shows different age range fields in the database being seeded into the single-multiple response question Age. If the Age field in the database is set to 2 the age range 25 to 44 will be seeded into the field.
  2. Click Next. You will see a summary of what the database link does.
  3. Enter a name for the link and click Finish.

This page of the wizard contains the email and login options for the survey. You can choose to send email invitations only to the participants, or to use log ins for the participants.

Email invitations

Select the Send email invitations only option to send an email invitation only to your participants. This does not provide tracking options. This requires email addresses to be provided in the participant data. With this option, clicking next opens an email editor, where you can create the email invitation.

Log in participants

Select the Log in participants option to provide the option to track and manage participants in Snap XMP Online. The participant data must contain a field containing unique values to use as the login. You have the option to require a password, send email invitations, seed the questionnaire as well as use group questionnaires.

Email and login settings

Send email invitations onlySelect to go straight to setting up emails, using email addresses from the participant data.
Log in participantSelect to use unique ids from the participant data to log into the survey. Snap XMP uses these to maintain the survey. This tracks the participants in Snap XMP Online for emails, reminders and seeding.
Login fieldSelect a database field containing unique values to use as the login.
Password fieldSelect a database field to use as the password.
Send email invitations and remindersCheck this box to include email invitations. These may include data from the database.
Seed database data into questionnaireCheck this box to pre-load the response for an individual with data from the database. You can only seed data for known respondents, so this box is only available if respondents are logging into the survey.
Group questionnaireUsed if the participant needs to complete multiple versions of a survey for different subjects.
Subject fieldSelect the database field containing the subjects that a participant should use to fill in the survey.
Identify respondents in the response data (‘Respondent’ paradata variable is required)Select to store the respondent login name in the respondent paradata variable when publishing. The Participant paradata variable must be set on in the survey.

This page allows you to select the database you are linking to, and apply any filters or passwords required.

Select the database file or build a database link

Table of fields

Select Database FileOpen a file selection dialog to select the database that you are linking to.
Build Data LinkOpen the Microsoft data link tool to specify the type of database that you wish to link to. This is only required for unrecognised database types.
Advanced SettingsOpen the database link Advanced Settings dialog to specify further details of your database.
Create TableExport only: Add a new table to the selected database on file export. By default, exported cases will be added to the new table.
Select the Table to useSelect the database table from the dropdown list to import from or export to.
Where condition (SQL)Import only: Specify a suitable SQL filter condition to select data from the database. (This expression will depend on the database you are using and the data you wish to import.)

Selecting a database

  1. In the Select Database page, you can select the link to your participants’ data. There are two choices depending on the format in which your data is stored.
    • Click Select Database File and browse to the Excel or MS Access file containing the participants’ data. This needs to include a unique id, such as a username or login id.
    • Click Build Data Link to build a link to an Oracle or SQL Database containing the participants’ data. This needs to include a unique id, such as a username or login id.
  2. The Select the Table to use drop-down automatically displays a table name. If this is not the table you require, select a different table from the list. If you wish to filter the participants so that this survey is only available to some members of the database, set an appropriate filter in the Where condition box. Click Next.
  3. The next step depends on the options required for the survey. Click on the link that matches your required choice and follow the instructions given:
    • Sending email invitations only with the option to seed the email invitation
    • Using logins only with the option to seed the questionnaire
    • Using Logins and sending email invitations with the option to seed both the email invitation and the questionnaire

This tutorial shows how to seed data from the survey URL into the questionnaire, so you can capture which survey website the participant used to access the survey. In this example, the survey can be accessed from three websites: Snap Surveys, Facebook and Twitter.

This allows you to capture which link the participant used, so you can track the participants’ engagement on each platform.

Step 1: Creating a variable to capture the seeded data.

  1. Create a variable to capture the data you want to collect. This example uses an Open Ended Literal variable, but you can also use a coded single choice variable.
  2. Change the name of the variable to something that helps you recognise it easily. Do this by right-clicking on the variable, then selecting Variable Properties. In this example, the variable name is changed to “Website”.
  1. If you don’t want the participants to see the variable in the survey, you can then hide it. To do this simply right click on the variable, then select Hide Variable. The participant cannot view a hidden variable, but the questionnaire uses the data behind the scenes.
  2. When the questionnaire is ready, you can publish it, which creates the survey URL in Snap Online. You can find out more about publishing your survey here.

Step 2: Creating the URL for each website.

  1. Log in to Snap Online.
  2. Select the survey and open the Collect tab.
  3. In the Collect tab, you will find the Interview URL.
  1. Copy the URL using the Copy button, then paste it into a text editor, such as Notepad or Microsoft Word.
  2. To make a unique link for each website the questionnaire can be accessed, you need to add some code to the end of the URL. This code is: ?VariableName=Data
  3. Replace the ‘VariableName’ with the name of the variable you want to seed data into. Replace ‘Data’ with the data you want seed. In this example, there are three websites being used, so you need to seed the words ‘Facebook’, ‘Twitter’ or ‘Snap Surveys’ into the variable called Website in the survey. The links created are:
  4. Publish these links onto the relevant websites, each link takes the participant to the same questionnaire. The questionnaire captures the website information within their response, and you analyse this to check your engagement for each platform.

Please note that because Snap Surveys is two words, you need to use the HTML code for a space. This is %20. You cannot use a space within the URL, as anything after the space is ignored.

Database links can be used to link a file or database containing participant information to a survey. The participant information can include logins, details used to seed the questionnaire, as well as email addresses and seeding used to send email invitations.

Creating a database link lets you

  • provide the participants’ names and email addresses
  • set up a requirement to login and seed the survey with participants’ login data
  • seed the questionnaire with participants’ data
  • create email invitations and reminders

Database links are created using the database link wizard.

There is initial setup that is necessary for all database links.

  1. Create the participant data file with the correct data. This may be a database or data file, such as a CSV or Excel file.
  2. Create the database link
  3. Select the participant data file.

There are several options available for linking participants following the initial setup stages.

  1. Sending email invitations only with the option to seed the email invitation
  2. Using Logins only with the option to seed the questionnaire
  3. Using Logins and sending email invitations with the option to seed both the email invitation and the questionnaire

Following the database link set up you need to run the database link to upload the participant data to the survey.

Creating the participant data file

This database file contains

  • unique email addresses used to send email invitations
  • usernames and password data used for participant logins
  • two columns that contain seed data, First name and Age (from a single choice age range question)

Creating the database link

  1. Open the survey in Snap XMP Desktop.
  2. Click Database Links   on the toolbar or select File | Database links to display the Database Links dialog box.
  3. Click New to create a new database link. The Database Linkage Wizard is displayed.
  4. Select the Online Invites/Logins/Seeding radio button as the Linkage Type. This is the default option.

  1. Click Next to move to the Select Database page.

  2. Enter a name for the link and click Finish.

Questionnaire seeding required

  1. The questionnaire seeding page is displayed if you have selected Seed database data into questionnaires. Click Next. (If you want to seed group questionnaires click Setting up a database link for group questionnaires)
Log in respondents
  1. To seed (transfer) data from a database field to a question variable in the survey, click in the area to the right of the field and select the survey variable from the drop-down list.

  1. Single and multiple-response questions in Snap XMP Desktop have a code for each possible answer. You can seed data directly into one or more codes.

Mapping database fields and field values to the survey variables
  1. Select the code that you wish to seed for a given value of the database field. The example shows different age range fields in the database being seeded into the single-multiple response question Age. If the Age field in the database is set to 2 the age range 25 to 44 will be seeded into the field.
  2. Click Next. You will see a summary of what the database link does.
  3. Enter a name for the link and click Finish.
  4. The next step is to run the database link.

Running the database link

When you have set up the participants, invitations and seeded data for your survey you need to run the database link. This will generate the participant and invitation data for the online survey making it available in Snap XMP Online.

Instructions to run the database link

  1. Select File | Database Link to display the Database Links dialog.
  2. Select the link that contains the participants’ data.

If you are using a bought-in panel of participants, the panel provider may require a participant ID to be passed into the survey, and subsequently passed back out along with a completion status. This allows the panel provider to track if a participant has completed the survey, been screened out, or if they were over quota. They collect this information by sending the participant to a webpage that captures their exit status and ID when they leave the survey.

Snap XMP allows you to direct participants to a specific web address at the end of the survey. It also enables you to set a web address for screen outs and when a quota is full, using the new screen out and quota feature built into the software. This worksheet describes how to send the respondent to the relevant webpage and to include the participant ID and completion status.

In this tutorial, the following exit pages are used:

The participant ID must be added to the end of each URL to send the participant ID back to the panel provider. This enables them to be able to track which participants have completed the survey, and those that have failed to qualify.

Step 1: Including a participant ID

For the panel to identify which participants were completed, screened out or over quota, an ID must be assigned for each participant. This ID must be available in the survey for it to be used in the exit URL.

  1. Create an open-ended literal variable at the top of the survey, that will be used to collect the participant ID.
  1. It’s recommended to rename the variable, to avoid any confusion, as currently it will be called Question 1. To rename, right click on the variable and select Variable Properties. Then change the Name to something like ID.
  1. Press OK to confirm the change.
  2. You can then hide this variable, so that your respondents don’t see it in the survey (but this will still allow the data to be passed into the variable, and back out again). To hide the variable right click on it and select Hide Variable. If you have multiple editions in the survey, you will also need to hide the variable in all the editions.

Step 2: Creating the screen out and quota full exit link

These steps assume that you have already created your Quotas and Screen outs. If you require information on when to use these, please see our Introduction to quotas and screen outs for a general overview. To learn how to create a Quota, please see Setting up quotas. To learn how to create Screen Outs, please see Setting up screen outs.

  1. Open the survey in Snap XMP Desktop.
  2. Select View then Quotas and Screen Outs from the menu.
  3. In this example, there is one quota and one screen out. Each one will have the URL link set to the web page that is shown when the quota or screen out is triggered. This example starts by setting the quota’s exit URL. Double-click on the quota to open it.
  1. Select the URL option and enter the quota full URL provided by the panel.
  1. Add the name of the variable that collects the participant ID. In step 1 we named this variable ID, so enter the name of the variable in curly brackets onto the end of the URL, e.g. {ID}. The curly brackets act as a placeholder for the participant ID. The data from the variable is inserted onto the end of the URL.
  1. Press OK to confirm the change.
  2. Double click on the screen out to open it.
  3. Select URL and enter the screen out URL provided by the panel.
  4. Add the name of the participant ID variable in curly brackets onto the end of the URL, e.g. {ID}.
  1. Press OK to confirm the change. Both the quota full and screen out exit links are now set up. If you have any additional quotas or screen outs, then repeat the steps above to apply the URL to each of them.

Step 3: Setting up the complete link

Now that the quota full and screen out exit links have been created, you can now set up the on submit exit URL, for those respondents that successfully complete the whole survey.

  1. Open the Questionnaire Properties menu.
  1. Click on the Submit tab from the left-hand menu.
  2. Select Web Page for the on submit option and enter in the complete exit link.
  1. On the end of the URL enter the name of the variable that contains the participant ID in curly brackets. In this example the variable is called ID, so add {ID} onto the end of the URL.
  1. Press OK to confirm the change, then save the survey and upload the changes to your Snap Online account.

Step 4: Passing the participant ID into the survey

Once you have set up all the exit links for the survey, you are ready to test them with the panel company. First, you need to create the entry URL that the panel can use to add the participant ID onto the end, before providing it to each participant.

  1. Login to your Snap Online account.
  2. Click on the survey to select it.
  3. Select the Collect tab
  4. Publish the survey, if you have not done so already, to create the survey URL.
  1. Then start the interviewing to make the survey live.
  1. Use the Copy button to copy the live URL for the survey.
  1. Paste this URL into a text editor such as Notepad.
  2. You can then seed the participant ID into the survey via the URL. This is added as ?<variable name> = . In this example our variable name is ID, so my URL would be: https://online1.snapsurveys.com/tqxm2r?ID=
  1. You can then pass this URL to the panel company. They will add each participant ID onto the end of the URL, before providing the participant with the link. For example, if the participant ID is ABC123, the link provided to that participant would be:
    • https://online1.snapsurveys.com/tqxm2r?ID=ABC123

This now completes the setup of a panel survey. The ID of the participant will be passed into the survey via the seeding on the entry URL for the survey. This passes a participant ID into the ID variable created in the survey. This is then passed out to the exit link, with the seeding that is set up for the Complete, Quota Full or Screen Out URL.

Group questionnaires are questionnaires that a participant is required to repeat a number of times, once per subject. Prior to completing a group questionnaire, the participant must login in order to load the subjects for the individual. Once a participant has logged into the questionnaire they will see a default page that shows the list of group subjects and status for the survey. The participant selects a group subject and the questionnaire starts for that subject. The subject selection page can be customised to include logos and further instructions.

  1. On the Snap XMP Desktop toolbar, click QuestionnaireIcon.png to open the survey in the Questionnaire window.
  2. Click Questionnaire Properties  QuestionnairePropsIcon.png  to open the Questionnaire Properties dialog.
  3. In Section, select Paradata.
  4. Check that the questionnaire is set up for logins by selecting Participant then select Display in questionnaire, if it is not already selected. This inserts a login question at the start of the questionnaire.

Google Analytics is a web service provided by Google that provides tools to help track and report on your website traffic.

This tutorial describes how to connect your survey to Google’s Analytics service. Please note that this tutorial assumes that you already have a Google Analytics account set up, and have an online survey that has already been created and added to your Snap Online account.

Step 1: Create a new property in Google Analytics

  1. Login to your Google Analytics account
  2. Click Admin and create a new property
  3. Fill in the details and click OK
  4. Add a Web data stream
  5. Enter the URL for the survey, this can be found by doing the following:
    • Login to your Snap Online account
    • Click on the survey to open the Summary page
    • Select the Collect tab
    • Publish the survey, if it has not already been published online
    • Click Copy to clipboard to copy the survey URL and paste. Please note that the survey URL should not be changed after this.
  6. Enter a name for the data stream
  7. Select your measurements
  8. Click Create Stream
  9. This creates a Global Site Tag that can be added to your survey

Step 2: Adding the Global Site Tag to your survey

  1. In Survey Overview select the online mode 5.OnlineSurveysIcon.png and open the online survey.
  2. The Global Site Tag needs to be inserted into a visible variable at the very top of the survey. We recommend using the Title variable. If it is not at the top click on it to select it then hold down CTRL on your keyboard and press the up arrow to move it to the top. Alternatively you could create a new Instruction style variable at the top of the survey.
  3. Click the variable then select Insert and HTML Field. This opens the New HTML Field dialog.
  1. In the New HTML Field dialog, select Custom HTML then paste the Global Site Tag from step 1 into the HTML text box:

  2. The HTML code is displayed in your Title, as shown below. Please note that this code will not be visible to participants.
  1. Click Save SaveIcon.png to save the changes.
  2. Click Upload UploadIcon.png to pass the changes to the survey in Snap Online.
  3. Open the survey in Snap Online
  4. Click into the Collect tab
  5. Publish the latest version. If the survey is live you will need to pause interviewing first to do this.
  1. Use the live survey link to start the survey and submit a test. The preview will not work
  2. Check your Google Analytics account to see if it has registered. Please note that it might take a few minutes to update.

Snap XMP Desktop allows you to set up email alerts when a participant’s response meets a condition while completing the survey. An email alert is an email that is sent to a specific email address if a particular answer is selected.

You can use alerts to:

  • notify specific people or departments depending on survey results.
  • send a specific email depending on various conditions (for example, the age of the participant or where they live).

You can:

  • include data from the survey in the email.
  • send the email to an address that was given as a response.

For example, if someone expresses an interest in buying a new car, you could send an email to a salesperson, or if someone is not satisfied with the food, you could send an email to the chef.

The emails are sent when the response is submitted.

You can set up email alerts using using the Alerts option in the Questionnaire Properties. For each email that you choose to send you can set up:

  • The address that you are sending it to
  • The text of the email (which can include the participant’s previous answers to questions)
  • The conditions that trigger an email alert. (Conditions use “if” statements, in the same way as in routing and filtering.)

You can send emails in plain text or in HTML format. HTML emails allow you to set the text to be bold, italic or underlined. You can also insert HTML codes directly into your email.

Creating a new alert

  1. In the Questionnaire window, click Questionnaire Properties QuestionnairePropsIcon.png . This opens the Questionnaire Properties dialog.
  2. Select Alerts in the Section panel to display the email alerts.

Creating the alert email

  1. In Condition, enter the criteria triggers an email to be sent. If you do not include a condition, the email will always be sent.
  2. Clear the Enabled checkbox if you wish to disable the alert.
  3. Select the use HTML box to use HTML formatting, including font type, style and colour, or any HTML code.
  4. In To, enter the address of the person who will receive the email. If you wish to send to multiple recipients, separate each email address with a semi-colon. You can also use the Insert button to insert an email address variable from the questionnaire, allowing the alert to dynamically populate the email address) using text substitution. In this way, the respondent could receive an email alert confirming their response submission. The field will show the variable in curly brackets {}.
  5. In From name: enter the sender name for the email.
  6. In Subject, enter the subject of your email in the Subject field.
  7. Enter the content of the email. You can use the Insert button to insert variable fields from the questionnaire (for example, the date, site, etc) in the email body as well as the To, From name and Subject fields. If you insert the answer for a coded question it will display the appropriate answer label. The variable field has curly brackets {} to show that it is a variable.

  1. Click OK to save your settings. The alert is added to the list of alerts

You will need to publish your questionnaire for the email alerts to become active, when the email will be sent each time a response is submitted that meets the condition for the alert.

Editing and deleting existing alerts

  1. In the Questionnaire window, click Questionnaire Properties QuestionnairePropsIcon.png . This opens the Questionnaire Properties dialog.
  2. Select Alerts in the Section panel to display the email alerts.

The Data View mode in the Questionnaire window allows you to view and print responses to the survey in the questionnaire. The responses can be viewed either as a summary showing counts and/or percentages or as responses from individual participants. You can print a list of survey results when there are survey responses available, either when the survey is live or after it closes.

The Questionnaire window is changed to Data View mode by clicking  DataModeIcon.png  on the Questionnaire window toolbar. This shows the case data in questionnaire format. There are two options available:

  • Select Case Data to view or print individual responses
  • Select Counts to view or print a summary of responses

Printing a summary of responses

  1. Click the  DataModeIcon.png  button in the Questionnaire window to switch to the Data View Mode.
  2. Select Counts from the drop down in the Questionnaire toolbar.
    • Check the Percentage box to show the percentage of participants giving each answer. For example, 9% of visitors ate at the restaurant every day.
    • Select the Absolute check box to show the number of respondents giving each answer.

  1. There are options to apply
    • a filter to limit the number of responses
    • a pre-defined weight to use weighted response data
  2. Click Print Preview  PrintPreviewIcon.png  to preview and then print the report.

Printing the individual responses

  1. Click the  DataModeIcon.png  button in the Questionnaire window to switch to the Data View Mode.
  2. Select Case Data.

  2. Click Print to print the selected responses.

Limiting the responses

  1. Click  DataModeIcon.png  on the Questionnaire window toolbar to show the case data in questionnaire format.
  2. Click the Filter button on the Questionnaire window toolbar.

Inviting participants to complete a paper questionnaire often involves mailing the questionnaire. Adding the name and address of the participant on the first page of a questionnaire or covering letter can make this process easier.

This worksheet uses Snap XMP Desktop to insert participants’ names and addresses on the first page of a questionnaire, load the participants’ address details from a spreadsheet and then use them to print ready for mailing.

Step 1: Adding the name and address to your survey

In order to display the participant name and address details in the questionnaire, you will need to create some variables to contain this information

  1. In the Survey Overview window, choose whether the survey is online or offline then open the survey in the Questionnaire window.
  2. Make sure that you select the Paper edition that is going to be printed.
  3. Click New Question NewIcon.png . This question will be used to add the name and address lines.
  4. Select the Open Series First style from the style selection menu.

  1. Click Variable Properties VariablePropsIcon.png . In the Variable Properties dialog, change the Name property to Name and click OK. This is not required, but will help to match the name and address to the correct fields in the database or spreadsheet.

  1. Select Tabs in the toolbar topics, and then select Name. Set the tab value to 0%. Then repeat with Grid Label.

  1. Click on the question box and press the tab key to add as many additional Open series questions as required. E.g. If you have 5 fields in your database that contain the name and address details then you would create 5 Open Series questions. Rename these variables, as explained in 5 above, if appropriate.

  1. Select Show from the toolbar topics then select Text and clear the Show checkbox. This hides the Open Series question text.

Step 2: Removing the question box borders

Although the question boxes are useful in making it obvious where the variables are in the questionnaire, they are not required when printing the address details onto the paper questionnaire.

  1. Click the question to select it and remove the boxes by selecting Boxes in the toolbar topics, and then select <None>. The questionnaire now appears to have a blank area where the address variables are. Note: box outlines not available for scanning editions.
Hide the Boxes
  1. If the survey has other editions, which do not display the address, you need to hide the address lines in each of those editions. To hide the address, select an address line then select Show in the toolbar topics. Select (All) and clear the Show checkbox.

Step 3: Importing the participant name and address details

You will need a list of your participants’ names and addresses in a spreadsheet or database format.

  1. Click Database Links to display the Database Links dialog and click New.
  2. In the Database Linkage Wizard select the Import from database option and click Next.
  3. Click Select Database File and browse to the file containing the participant data. . If connecting to a database select the Build Data Link option and enter the connection details. DBLink1.PNG
  4. In Select the table to use, select the table or worksheet required. Click Next. If you do not wish to import details for all the participants in the file, you can set a filter in Where condition (SQL).
  5. In Import/Export Options, select Append all cases. This option imports new cases from the data file and appends them to the existing cases. If you already have cases in your survey, you can select a different option so identical cases are not imported. Click Next.

  1. The next page allows you to map the fields in the database or spreadsheet to the fields in the questionnaire. Select the Snap variable in the right-hand column with the corresponding the name and address fields from the database or spreadsheet. Click Next.

  1. A summary of your database link is displayed. If you wish, change the name of the link to something easily recognisable. Click Finish to save the database link then click Close to close the Database Links dialog.

Step 4: Previewing and printing your questionnaire

  1. In the Questionnaire window click Data View mode DataModeIcon.png  on the questionnaire toolbar to see how the printed questionnaire will look.
  2. Select Panel Data from the dropdown list. If it is the first time you have selected Panel Data, you will be asked which panel you wish to display. In this example, there is only one panel and one database link. The selection dialog appears with this link selected.

  1. To see how it will look when printed, select Print preview PrintPreviewIcon.png .
  2. If you are happy with your questionnaire, you can now print it. Select the All Filtered Cases radio button and click Print. If you need to make any changes select Cancel in the Print dialog. You must print from Data View mode to include the imported panel data. If you print from anywhere else, you will print out the empty questionnaire.

These can be a question response inserted into part of a website address or can be a derived variable, which identifies all or part of a website address, that is chosen dependent on the participant’s answers.

This tutorial uses Snap XMP Desktop to show how to use a single choice question and a derived variable to create a web address works.

The data that is inserted in place of the question name depends on the type of question:

Step 1: Setting up the question

  1. In the Survey Overview window, open the survey in the Questionnaire window.
  2. Click New Question NewIcon.png to add a question and select Single Choice from the option list.
  3. Enter the question text.
  4. Press Tab to create the different choices and complete the code labels. In the example, the choices are four areas that you can visit on the Snap Surveys website. The answer chosen by the participant is used to determine the web page shown after completing the questionnaire.

  2. Click Save SaveIcon.png to save your changes.

Step 2: Creating the derived variable

  1. Click Variables VariablesIcon.png on the main toolbar to open the Variables window.
  2. Click New Variable NewIcon.png to create a new variable.
  3. Set the variable properties
    • Name: WebPage
    • Label: Web address section
    • Type: Derived
    • Response: Single
  4. Add the code list to return the label used to create the web address dependant on the answer given by the participant. In the example, the label ‘services’ is returned when the answer ‘Research services’ is selected.

Step 3: Setting the On Submit web page

  1. In the Questionnaire window, click Questionnaire properties QuestionnairePropsIcon.png
  2. In Section, select Submit.
  3. In On Submit, select Web page.

  1. Type the full web address https://www.snapsurveys.com/{WebPage} into the text box. The variable name must be enclosed in curly brackets. When ‘Research services’ is selected the web page shown after the participant submits their response will be https://www.snapsurveys.com/services.
  2. Click Save SaveIcon.png to save your changes

Step 4: Publishing and testing the questionnaire

  1. Click Publish to open the Publish Questionnaire dialog.
  2. In Method, select Publish with preview.
  3. Click Publish to publish the survey.
  4. In the web browser go through all the questions, and check that when the correct web page is displayed after the questionnaire is submitted.

Alternatively you can publish in Snap XMP Online.

  1. Log in to Snap XMP Online and select your survey in Your Work.
  2. In Summary, click the Collect link.
  3. Click Publish current version to publish the survey.
  4. Click Launch preview to test the questionnaire, and check that when the correct web page is displayed after the questionnaire is submitted.

When creating a questionnaire that is completed online, participants can be required to log in. Surveys that require a participant to log in have a default login page is shown at the start of the questionnaire where participants enter their log in details to complete the questionnaire. The login details include a unique login ID and optionally, a password. Using Snap XMP Desktop, the login page can be customized to include branding, images and further instructions. The password is not displayed when it is not required.

Prerequisites

Setting up a questionnaire with a login page requires

  • A list of participants that must include their unique ID and may include a password and other seeded data. This can be a file or database format.

Step1: Customizing the login page

Surveys that require a participant to log in have a default login page shown as standard, which displays login and password fields. A customised version of the login page can be created to include branding and instructions.

  1. In Snap XMP Desktop, open the Survey Overview window and open the required online survey.
  2. In the Questionnaire window, click on Questionnaire Properties.
  3. In Section, select the Paradata option.
  4. In System Variables, select Participant then select Display in survey. This adds a question at the start of the questionnaire for the participant to enter their login. Click OK to save the settings.

  1. Using a password to login is optional. To add a password field to the custom login, select Password then select Display in survey. This adds a question for the participant to enter their password. Click OK to save the settings.

  1. Select the Participant question and edit the text, as required. Repeat with the Password question if it is used.
  2. If required, you can hide the question name by selecting the name then selecting Show in the options list and clear the Show checkbox. Repeat this for all the online editions of the questionnaire.

  1. Click New Question NewIcon.png to insert any further instructions or images that are part of the login page.
  2. Select the first question in the questionnaire then select Break in the options list and select Page Break. This inserts a page break between the login page and the first question. The only questions allowed on the login page are the Participant and Password paradata questions. Repeat the page break for all the online editions of the questionnaire.

Step 2: Publishing the questionnaire

Once you have completed the questionnaire and set up the login page you need to publish the questionnaire. The questionnaire can be published in both Snap XMP Desktop and Snap XMP Online. This worksheet uses Snap XMP Desktop.

  1. In the Questionnaire window, click Publish PublishIcon.png to open the publish dialog.
  2. In Method, select Publish without preview.
  3. Click Publish to publish the questionnaire.

Step 3: Uploading participants for a logged-in survey

When you have published your questionnaire you need to upload a list of participants from an Excel spreadsheet. The spreadsheet must contain a unique participant login, which may be an email address. In addition, the spreadsheet may contain a password and any data that you wish to seed into the survey. The spreadsheet must contain a data column for each survey variable that you want to seed. These instructions show how to upload the participants in Snap XMP Online.

  1. Open your survey in Snap XMP Online and from the Summary tab navigate to the Collect section.
  2. Select the Participants side menu to view the participants and invitations. The Participants Overview is selected by default.
  3. Click on the Participant list menu item to view the participants.

  1. Click on Upload Participants to open the Upload Participants Wizard.

  1. On the first page, click Select file to add the file with the participants’ data. The accepted formats are CSV and XLSX. Click Next.

  1. On the next page, select the survey options for sending email invitations and using logins. In this worksheet, only logins are used.
  2. To track respondents select Allow Snap Online to track your respondents.
  3. In Login field, select the spreadsheet column containing the Login for the participants. This field is required and needs to be unique as it is used to track the participant. Snap sets the default as the first column in the spreadsheet.
  4. If a password is used then in Password, select the spreadsheet column containing the password.
  5. If you are seeding data, select Seed data into questionnaire to allow any seeded spreadsheet data to default into the questionnaire as the participant is completing it. If you are not seeding data go to instruction number 15.

  1. Click Next. The next page lets you set up seeding.
  2. Select a spreadsheet column from the Spreadsheet Column list then select the question to seed from the Snap  Variable list
  3. Click Add which is next to the row. This adds another row below. Repeat for all the columns you need for your questionnaire seeding.

  1. In Single Choice and Multiple Choice questions you can map values found in Spreadsheet Column to the code labels in Snap Variable. For each Spreadsheet Value select the corresponding Snap Variable Code Label. Click OK when you have finished returning to the wizard.
  2. Click Next. The overview summarizes the chosen settings for you to review.
  3. Click Upload to upload the participants to the survey. The results are displayed when the upload is complete.

Step 4: Start Interviewing

You can start the interviewing process manually following publication of your survey. This makes the survey available to your participants.

  1. Click the Settings section of the Collect tab.
  2. Click the Start interviewing button to make the survey available to respondents straight away.

  1. Click the Interview URL to launch an interview. Check that the custom login page is correct. The questionnaire is ready for your participants to log in and complete.

In Snap XMP Desktop, you can insert an Opt Out link into an email invitation, allowing a participant to opt out of the survey. If a participant chooses to opt out of the survey, they will be unable to participate in that survey and will not receive any further emails relating to it.

In Snap XMP, you can also insert an opt out link using Snap XMP Online.

Requirements

These instructions assume that a Database Link has already been created in order to connect a survey to a database of participants. If you are not familiar with setting up a Database Link for email invitations, please see these worksheets:

Adding the Opt Out link

You can create email invitations and reminders using the Database Linkage wizard. When you select the options to use email invitations you are able to construct the email message in the editor. In the editor, you can insert different fields including the Opt Out link that enables participants to opt out of the survey.

  1. Set the email address field at the top of the window to the database field that uniquely identifies your participant. This provides the email address for the participants in Snap XMP Online.
  2. Type the subject heading in the Email subject and text field.
  3. Construct your email message in the Invitation or Reminder message box.
  4. Use the Insert button to insert the Survey Location. This creates a link to the survey when the message is sent.

  1. Use the Insert button to insert the Opt Out link from the survey. This link will take the participants to a webpage when they opt out.
  2. This inserts the default opt out wording at the cursor location in the message box. Click on the Opt Out link to edit the wording.
  3. Click Next. You are shown a summary of what the database link does.
  4. Enter a name for the database link and click Finish and then Close.

When a participant clicks the Opt Out link in the email invitation they receive, they will be shown the Snap Surveys opt out web page and be flagged as having opted out in Snap XMP Online. The participant will not receive any more emails for the survey.

When distributing surveys, you can set up a unique participant identifier that can track whether a given participant has responded and if not, send them reminder emails.

You may need participants to log in to ensure that they only complete a questionnaire once, or to enable Snap XMP Online to keep track of their responses. To set up a login page, you must have a known list of participants and they must each have a unique ID that they use to log in. In Snap XMP Desktop this must be set up using database link.

To make life simple for participants and help to increase your response rate, the email invitations can contain a link to the survey that, when clicked, automatically logs the participant into the survey.

Identifying the participant using a unique identifier

What you need

  • A unique email address for each participant. You can also add additional fields to personalise your email invite and login details.

Creating a new database link

  1. In the Survey Overview window, open the survey.
  2. Click Database Links DBLinksIcon.png on the Snap XMP Desktop toolbar or select File | Database Link to open the Database Links window.
  3. Click the New button. This opens the Database Linkage Wizard where you create a new database link.

  1. In the Database Linkage Wizard, select Online Invites/Logins/Seeding option. Click Next to select the database file.

  1. As Snap XMP Online will be tracking and identifying participants, select Log in participant.
  2. Select the unique participant ID/login field from the drop-down list. This will be used to set up the participants in Snap XMP Online.
  3. Select Send email invitations and reminders – this instructs Snap XMP Online to send email invites and reminders to your participants.
  4. Make sure the box which says Identify participants in the response data is unchecked.

  1. The email invitations are created next. Check the Use HTML emails if you wish to have styled HTML emails.
  2. Set the Email address field option; select the appropriate unique email address from the drop down menu.
  3. Add a subject heading in the Email subject and text box.
  4. Type the email message in the Invitation tab and if required, the Reminder tab.
  5. Click Insert to add a Survey Location link. This provides a link for the participant to access the survey and must be included in the email message.
  6. You should also include a link enabling your participants to opt out of the survey using the Survey Opt Out link by clicking Insert.

  2. Select Finish returning to the Database Links dialog.

Generating the participant data

Participant seeding options

These are the options you can use when updating participant information and seeding. This option is selected when you generate the participant data. These are the options available in the Participants and Seeding drop-down.

Does not load any participant or seeding data changes to Snap XMP Online.

Add new participants only

Add new participants’ data will be loaded but this will not update any changes to existing participants’ data.

Update participants

This will insert new participants and also update changes to existing participants’ data. This may overwrite any changes made in Snap XMP Online to existing participants. This option will not remove participants that are no longer in the new list of participants or that have been added in Snap XMP Online.

Replace all participants

This will replace all participants’ data by removing all the existing participants and replacing them with the new list. This will remove existing participants that are no longer in the new list of participants. This will mean any updates made to participants or new participants added in Snap XMP Online will be lost.

Invitation and reminder options

These are the options you can use when updating the invitations and reminders. This option is selected when you generate the participant data. These are the options available in the Invites and Reminders drop-down.

There are no changes made. The process will not upload any invitation or reminder changes to Snap XMP Online.

Define or replace

  4. Scroll to the Paradata section. Highlight the Participant option in the System Variables list and select Display in survey. Click OK.

  1. This creates a new variable at the top of the survey called ID.name. To enable your participants to log in automatically, highlight the question, right click and select Hide Variable.

When distributing an anonymous survey, you can set up your participant database in Snap XMP Desktop or Snap XMP Online. The survey responses are not linked to a given participant. Participants are not tracked to identify whether they have responded, although if a participant opts out of the survey Snap XMP Online records this to ensure that the participant does not receive further emails. This tutorial describes how to set up the participant database in Snap XMP Desktop. A group questionnaire is a questionnaire that you want your participant to repeat a number of times, once per subject. For example, a participant may be based in more than one office and they need to complete the questionnaire once for each office. The spreadsheet below shows how you can lay out the spreadsheet with one row for each office required.

The participant data file must include a login, which can be an email address, and the subject field. In addition, the data may optionally contain an email address, password and other seeding information, for example, first name used to personalise the email invitations.

When the participants start the questionnaire via the survey link, they are shown a list of the subjects available to them, together with the questionnaire status (started, completed, etc) for each subject. The participant starts each group questionnaire by clicking on the subject.

The responses for all the group questionnaires can be analysed together, so you can make direct comparisons between evaluations of different subjects.

Creating the database link

  1. Open the survey in Snap XMP Desktop.
  2. Click Database Links DatabaseLinkIcon.PNG on the toolbar or select File | Database links to display the Database Links dialog.
  3. Click New to open the Database Linkage Wizard and create a new database link.
  4. Select the Online Invites/Logins/Seeding radio button as the Linkage Type. This is the default option.

  1. Click Next to move to the Select Database page.
  2. Here you can select the link to your participants’ data. This will depend on the format in which your data is stored.
  • Click Select Database File and browse to the Excel or MS Access file containing the participants’ data. This needs to include a unique id, such as a username or login id.

OR

  • Click Build Data Link to build a link to an Oracle or SQL Database with the same information.

  1. The Select the Table to use drop-down automatically displays a table name. If this is not the table you require, select a different table from the list. If you wish to filter the respondents so that this survey is only available to some members of the database, set an appropriate filter in the Where condition box. Click Next.
  2. Select the option Log in respondent. Group questionnaires need to be accessed using a login. Then select a Login field and optionally select a Password field available in the data file.
  3. For Group questionnaires, select Seed database data into questionnaires. Select the Group questionnaire option that is now enabled.

  1. Select the Subject field from the database. This is the field in the participant data file that the questionnaires are grouped by, for example, by office location. Click Next.
  2. To seed (transfer) data from a database field to a question variable in the survey, select the Snap Variable from the drop-down list that matches the Database Field entry.

  1. Single and multiple response questions in Snap XMP Desktop have a code for each possible answer. You can seed data directly into one or more codes. Select the code that you wish to seed for a given value of the database field. The example shows different offices in the database that are seeded into the multiple response question Office.
  2. Click Next. You will see the database link summary.
  3. Enter a name for the link and click Finish.

Seeding data into the questionnaire allows you to automatically fill in participants’ information as they progress through the questionnaire. You must set up your survey to log in the participant to be able to use seeding, as you need to be able to identify respondents to correctly seed the questionnaire.

Creating a database link with seeding

  1. Open the survey in Snap XMP Desktop.
  2. Click Database Links DatabaseLinkIcon.PNG on the toolbar or select File | Database links to display the Database Links dialog box.
  3. Click New to create a new database link. The Database Linkage Wizard is displayed.
  4. Select the Online Invites/Logins/Seeding radio button as the Linkage Type. This is the default option.

  5. Check the Seed database data into questionnaires box and click Next.

  1. To seed (transfer) data from a database field to a question variable in the survey, click in the area to the right of the field and select the survey variable from the drop-down list.

  1. Single and multiple-response questions in Snap XMP Desktop have a code for each possible answer. You can seed data directly into one or more codes.

Once you have completed your online survey you need to distribute the questionnaire so that your participants know about the survey and are able to respond to it. You can set up your participants and invitations in Snap XMP Desktop and they can be used in Snap XMP Online.

Creating a database link lets you

  • provide the participants’ names and email addresses
  • set up a requirement to login and seed the survey with participants’ login data
  • seed the survey with other participants’ data that is used during completion
  • create email invitations and reminders

Database links are created using the database link wizard.

For online surveys, you must carry out the following steps

  1. Select the database containing the participant data. This may be a database or data file, such as a CSV or Excel file.
  2. Select whether you wish to link to participants, create email invitations and seed the survey with data.
  3. Define the email invitations and reminders.
  4. Specify the mapping between the survey variables and the database fields.
  5. Run the database link for the survey.

When participants submit or save an online survey there are a number of options available that let you choose the next step. You can:

  • send the participant to a default web page
  • send them to a web page of your choice
  • close the survey window (only available on submit)

These are set in the Submit section of the Questionnaire Properties dialog.

Setting the web page on submit

After a participant submits their response they can be shown a default thank you web page, a specific web page or the survey page can be closed as is often the case for surveys in a pop-up window.

  1. In the Questionnaire window, click QuestionnairePropsIcon.png to open the Questionnaire Properties.
  2. In Section, select Submit, if it is not already selected. This section is only available for questionnaires containing online editions.

  1. In On Submit, select
    • Default to show the default thank you page after the participant completes the survey
    • Web page to go to a specified web page
    • Close to close the web browser window after the participant submits their response when the survey is displayed in a pop up window. Please note this will not work when the survey is being displayed in a normal web browser. In this case, the default page is displayed.
  2. If Web page is selected enter the web address in the field below.
  3. Click OK to save.

Setting the web page on save

After a participant submits their response they can be shown a default web page or a specified web page.

A Save button must be included in the questionnaire for participants to be able to save their response.

Including the save button

  1. In the Questionnaire window, click QuestionnairePropsIcon.png to open the Questionnaire Properties.
  2. In Section, select Buttons. This section is only available for questionnaires containing online editions.

  1. Select Save in the Button list and select the Use in survey option.

Setting the on save web page

  1. In Section, select Submit. This section is only available for questionnaires containing online editions.

    • Default to show the default page after the participant completes the survey. This page provides a link for the participant to use to resume the saved questionnaire.
    • Web page to go to a specified web page.
  2. If Web page is selected enter the web address in the field below.
  3. Click OK to save your selection.

Resuming a saved response

If the participant has accessed the survey using a login then the data response is saved with their login details so that it is reloaded when they resume the questionnaire.

If the participant has not used a login they are sent to the default web page containing a link that they can use to resume the questionnaire. They can either enter their email address to be sent the link or bookmark the page.

If you want to collect saved data that was never completed you will also need to select partial responses.

Using variables to specify the web page

When respondents answer an online survey, you can specify the web page that they are taken to when they finish.

Survey variables can be included in the web page address making this specific to answers a respondent has given in the questionnaire.

You can:

  • insert the response to a question as part of a website address
  • use derived variables which identify a website address, dependent on given answers
  • pass the content of variables to a web page, for example, to insert a respondent’s name into a “Thank you” message

Using a question answer

The data that is inserted in place of the question name depends on the type of question:

When you have completed the questionnaire, you will want to distribute it to your participants so they can respond. Publishing puts the questionnaire into a form that can be distributed to your participants, either by creating a link to complete online or by printing a paper copy.

You can publish the questionnaire in both Snap XMP Desktop and Snap XMP Online. This page covers publishing from Snap XMP Desktop.

Previewing the online questionnaire

Before publishing, you can check that the questionnaire is working in the way you want, before making it available to participants. This is done using the Preview only option, which opens the questionnaire in a browser and you can check how it looks and behaves, without saving the test responses.

  1. In the Questionnaire window, click the Publish icon PublishIcon.png. This opens the Publish Questionnaire dialog.
  2. In Method, select Preview only.

  1. Click the Publish button to run a preview of the questionnaire in a web browser. This allows you to enter some test replies and try out the routing instructions. The test replies are not saved. If you need to make any changes, return to the questionnaire, make the changes and repeat the testing process.

Publish the online questionnaire

Your questionnaire is now ready for publication, a process that creates a version of the questionnaire that is accessible on a web browser.

  1. In the Questionnaire window, click the Publish icon PublishIcon.png. This opens the Publish Questionnaire dialog.
  2. In Method, select Publish without preview. (There is also the option to Publish with preview that allows you to preview and test the questionnaire at the same time as publishing.)

  1. Click the Publish button. This publishes all online editions, such as PC, Laptop, Tablet or Phone.

Next steps in Snap XMP Online

After publishing the questionnaire, log in to Snap XMP Online, select the survey, then click the Collect link.

Here you can:

  • Publish and print the questionnaire
  • See the interview URL
  • Edit the interview URL
  • Preview the questionnaire
  • Copy the interview QR code

You can upload participants from a spreadsheet and send invitations to them.

Start interviewing when you are ready for the survey to go live.

If you are producing a printed questionnaire for known respondents, you can insert the respondents’ names and addresses on the front page of the questionnaire, and then mail them directly. You need to have a database set up with the names and addresses of respondents beforehand. Each address line must be in a different field.

Once the respondents have completed and returned the questionnaire, their relevant details can then be keyed into Snap XMP Desktop. Subsequently, cases can be matched with records from the external database for the import of other personal information.

To set up the questionnaire for a mail merge you must:

  • Create open-ended questions for the name and address lines.
  • Create a new style for these questions so it places them in the correct position on the page.
  • Create a link to the database holding your respondents’ names and addresses
  • Select the link in Panel data in Data Entry mode and print the questionnaire

Adding the space for the respondent’s name

  1. Open the survey in Design mode and create a new Open Ended question below the subtitle.
  2. Type “Name:” in the area marked “Click here for text”. This is only used for reference while creating the style.
  3. Click VariablePropsIcon.png or press Alt+Enter to open the Variable Properties dialog.

  1. Change the question Name property to “Name” and click OK. The word “Name” now appears in place of the question number.

Set the style to position the space for the respondent’s name

  1. Select the Name question you have just created.
  2. Move the code box to the right of the question by selecting Positions in the toolbar topic list. Set the question Position to Beside.

  1. Select Columns from the drop-down list and set it to Full Page. Set the number of columns to 1, if it is set differently.

  1. Select Tabs in the toolbar topics, and then select Text in the drop-down list. Set the tab value to 0%. The space for the question text disappears, but that is fine, as it will be hidden. (The tab value sets the space reserved for text. You can move the response box to the right by increasing this value.)

  1. Select Alignment in the toolbar topics and then select Code Box and Left in the drop down lists.
  2. Use Ctrl++ to expand the response box until it is large enough for your address lines.
  3. Select Show from the toolbar topics drop-down list and uncheck the boxes for Name and Text.
  4. With Show selected, select Space before in the drop-down list, and set the Gap to 0.01cm. This specifies the gap between the lines of the address. You may need to set this to 0, or hide this space completely.
  5. Select Margins in the toolbar topics, and then select Data in the drop-down list. Set all the margin values to 0. This specifies the space between the box and the response data.

  1. Click StyleModeIcon.png or press Ctrl+M to go to Style mode.
  2. Click StylePickerIcon.png to go to the Style Organiser. The style you have been working on will be selected in the left pane.
  3. Click VariablePropsIcon.png and type “Address line” in the Name field then click OK. This creates a new style called “Address line”, containing your changes.
  4. Click OK to close the Style organiser. Click DesignModeIcon.png or type Ctrl+M to go back to Design mode.

Create the address in your new style

  1. Select the Name question that you have just inserted. Look at the Style box. If your new Address line style is not selected, select it to apply it to the Name question.
  2. Press Enter to create a new question. It is automatically created in Address Line style.
  3. Click the Properties button VariablePropsIcon.png and change the question Name property to “Address_1” and click OK.
  4. Repeat to create variables for the maximum number of address lines stored in your database. The example shows Address_1, Address_2, Town, Post_zip_code. Note that no spaces can be used in variable names.
  5. Change to Style mode (press Ctrl+M or click StyleModeIcon.png ) and remove the boxes from the Address line style. While they make it easy to locate the variables in the questionnaire, they do not improve the look of the printed address.
  6. Select Boxes in the toolbar topics, and then select <None> in the drop-down list. The questionnaire now appears to have a blank area where the address variables are.
  7. Click SaveIcon.png to save your changes.

Connect to your database of names and addresses

  1. Select File | Database Link to display the Database Linkage dialog and click New.

  2. Click Select Database File and browse to the file containing the respondent data. (If the file is of an unrecognised type, you can identify it to Snap using the Build Data Link… button.)
  3. Select the table to use and click Next>. (If you do not wish to import details for all the respondents in the file, you can set a filter here.)
  4. The dialog displays a list of Import/Export Options. Select Append all cases. This option imports new cases from the database and appends them to the existing cases in the database. If you already have cases in your survey, you could select a different option so identical cases were not imported.

  1. The next dialog allows you to map the fields in the database to the fields in the questionnaire. Select the Snap field in the right-hand column that the data will be imported into until you have set up the name and address fields. Click Next>.

  1. A summary of your database link will be displayed. Change the name of the link to Mail merge addresses and click Finish.
  2. Click Close to close the Database linkage window.

Printing the questionnaires with the name and address information

  1. Change to Data View mode by clicking DataModeIcon.png on the questionnaire window toolbar, or pressing Ctrl + Shift + D.
  2. Select Panel Data (to show the people you have just added from the database) from the dropdown list. Select the Mail merge addresses database link.

  1. Click OK to display the questionnaire with the panel data included.
  2. Click the Print preview button PrintPreviewIcon.png .
    • If you are happy with your questionnaire, select the All Filtered Cases radio button and click Print.
    • If you need to make any changes select Cancel from the Print dialog. Change to Style mode and make any adjustments needed to the Address line style. (Changes you make to the style in Style mode will apply to all uses of that style) Then return to Data view mode to print.

You must print from Data View mode to include the imported panel data. If you print or publish from anywhere else, you will simply print out the empty questionnaire.

Seeding your questionnaire before printing

If you have a question that asks for information from a respondent that you already have in a database or spreadsheet, you can pre-seed the questionnaire with this information before you send it out.

To do so, you must set up a database link. If you print the survey in Case Data view from the questionnaire window, you will print a personalised survey for each respondent. If you are also putting your survey online, respondents will see the pre-seeded data when they complete the survey.

Including a pre-printed ID code

If you are producing a printed questionnaire for known respondents, you can insert a unique ID code on the questionnaire to identify respondents. You can then seed data into the survey without requiring your respondents to enter it in the questionnaire.

Once the respondents have completed and returned the questionnaire, the cases can be matched with records from an external database for importing other personal information. This assumes that the database has a unique ID for each respondent.

To set up the questionnaire for a mail merge you must:

  • Create an open-ended question for the ID
  • Create hidden questions for any data you wish to import from the database when the surveys are returned
  • Create a link to the database holding your respondents’ data
  • Select the link in Panel data in Data Entry mode and print the questionnaire

Adding the space for the respondent’s ID

  1. Open the survey in Design mode and create a new Open Ended question below the subtitle (set the response to Quantity or Literal depending on the format of the ID).
  2. Type “ID:” in the area marked “Click here for text”.
  3. Use Ctrl++ to expand the response box until it is large enough for your address lines.
  4. Select Alignment in the toolbar topics and then select Data and Center in the drop down lists so the imported ID will be clear of the box edges.
  5. Select Show from the toolbar topics drop-down list and uncheck the box for Name to hide the question number.

Create the questions for the data you wish to import

  1. Go to the top of the questionnaire (above the title) and create a new Open Ended question.
  2. Click the Properties button VariablePropsIcon.png and change the question Name property to something that identifies the data you will want to import (eg “Address_1”). Change the data length to the size required and click OK
  3. Repeat to create variables for other details you wish to import from your database. For example Name, Town, Post_zip_code. Note that no spaces can be used in variable names.
  4. Select all your new questions. Select Show from the toolbar topics drop-down list and uncheck the box for All to hide the questions.
  5. Click SaveIcon.png to save your changes.

Connect to your database of respondents

  1. Select File | Database Link to display the Database Linkage dialog and click New.

  1. The Database Linkage Wizard dialog is displayed. Select the Import from database option and click Next>.
  2. Click Select Database File and browse to the file containing the respondent data. (If the file is of an unrecognised type, you can identify it to Snap using the Build Data Link… button.)
  3. Select the table to use and click Next>. (If you do not wish to import details for all the respondents in the file, you can set a filter here.)
  4. The dialog displays a list of Import/Export Options. Select Append all cases. This option imports new cases from the database and appends them to the existing cases in the database. If you already have cases in your survey, you could select a different option so identical cases were not imported.

  1. The next dialog allows you to map the fields in the database to the fields in the questionnaire. Select the database field for the ID in the left-hand column and your ID variable in the right-hand column. Click Next

  1. A summary of your database link will be displayed. Change the name of the link to Printing and click Finish.
  2. Click Close to close the Database linkage window.

Printing the questionnaires with the customer ID

  1. Change to Data View mode by clicking DataModeIcon.png on the questionnaire window toolbar, or pressing Ctrl + Shift + D.
  2. Select Panel Data (to show the information you have just added from the database) from the dropdown list. Select the Printing database link.

  1. Click OK to display the questionnaire with the ID data included.
  2. Click the Print preview button PrintPreviewIcon.png .
  3. If you are happy with your questionnaire, select the All Filtered Cases radio button and click Print.

You must print from Data View mode to include the imported panel data. If you print or publish from anywhere else, you will simply print out the empty questionnaire.

With paper questionnaires you have the option to either publish or print the questionnaire. If you choose to print directly, rather than publishing first, the questionnaire is available for further changes. However, if you publish the questionnaire you will receive a warning that the questionnaire has been locked, although it will allow you to make changes should you wish to. As publishing the questionnaire is a crucial way of ensuring that questionnaires for scanning and use on the internet are not changed once they are finalised for printing or respondents’ use, it is good practice to get into the habit of publishing questionnaires once they are finalised, even if you only have paper versions.

Publishing and printing your paper questionnaire

Publishing a paper questionnaire means printing it. You print it from the Questionnaire window. If you have data in your questionnaire, the data will also be printed if you are in Counts or Case Data view. Empty questionnaires will be printed in Design view.

You can click the Print Preview button PrintPreviewIcon.png , select File|Publish or press Ctrl+Shift+W

The Printing Options dialog appears. It has a Publish button if you have selected File|Publish, and a Print button if you have gone through Print previewPrintPreviewIcon.png .

To print a single proof copy, click Print or Publish, as appropriate. Once you have proofed and checked your questionnaire, you can print multiple copies.

  1. Click the the Number of Copies button. This opens the Multiple Copies dialog.

Select Collate to print a multiple copies of a multi-page questionnaire at a time. Select Separate print jobs to break the printing up into one print job per questionnaire.

Printing case data with the questionnaire

You can include responses in your questionnaire when you print using Data View mode (printing a questionnaire in Design or Style mode gives a blank questionnaire). Change to Data View mode by clicking DataModeIcon.png on the Questionnaire window toolbar to show the case data in questionnaire format.

  • Select Case Data to print out full responses
  • Select Counts to print off a summary of responses

  1. Click the DataModeIcon.png button in the Questionnaire window to switch to Questionnaire – Data View Mode.
  2. Click the drop down list next to Case Data, and select Counts.
  3. Check the Percentage box to show the percentage of respondents giving each answer. For example, 9% of visitors ate at the restaurant every day.

  1. Select the Absolute check box to show the number of respondents giving each answer.
  2. Click PrintPreviewIcon.png to preview and then print the report.

Printing all responses

  1. Click the DataModeIcon.png button in the Questionnaire window to switch to Questionnaire – Data View Mode.
  2. Select Case Data if it is not selected.
  3. Click PrintPreviewIcon.png to open a print dialog.
  4. Select Current Data Case to print the currently selected case
  5. Select All Filtered Cases to print all responses (if no filter applied)
  6. Select Current Page to print the currently selected page of the current case/all cases

All Pages to print all pages of the current case/all cases (each case will be printed in turn)

Limiting the cases that are printed

  1. Click DataModeIcon.png on the Questionnaire window toolbar to show the case data in questionnaire format.
  2. Click the Filter… button on the Questionnaire window toolbar.
  3. Enter a filter expression to limit the cases that will appear in the report and click OK. A count appears on the screen of the number of cases that match the filter criteria.
