Multi-factor authentication is a security measure for online software. In addition to your username and password, this requires you to authenticate your login by providing additional information that proves your identity. This is usually provided by a code generated in an email or in an authenticator app. This makes your account more secure as it requires multiple pieces of information to log on with.

Multi-factor authentication is often abbreviated to MFA and is used in the rest of this article.

Configure MFA

You configure the MFA in Snap XMP Online.

  1. To set up MFA on your account log in to Snap XMP Online.
  2. Select Your account in the side menu.
  3. Select Security.
  1. In the Security tab, click the Configure MFA button.
  1. There are 3 options available: None, Email or Authenticator app. You can choose either Email or an Authenticator app to receive the 6-digit verification code. Examples of authenticator apps are Microsoft Authenticator or Google Authenticator. Select None to turn off MFA.
  1. Click Next.
  2. The next action depends on the option selected.
    • None – the MFA settings are cleared. Additional information will not be requested when you log in.
    • Email – an email will be sent to the email address associated with the logged in account with the 6-digit code. Enter the code and click OK.
    • Authenticator app – follow the instructions on the dialog to set this up. Enter the 6-digit code and click OK.
  3. When the multi-factor authentication is set up you will be prompted for the code when you next log in.

Log in using MFA

Snap XMP Online

  1. When you next log in, enter your username and password as usual and click Log in.
  2. Snap XMP Online prompts you for a code. Enter the 6-digit code from email or the authenticator app.
  1. If you wish to set your current device as a trusted device, select Remember browser. You will not need to enter the code each time you log in using the same browser on your device. If you use a different device or browser, you will need to enter the code.
  2. Click Submit to log in to Snap XMP Online.

Snap XMP Desktop

Once you have set up MFA in Snap XMP Online, the next time you use Snap XMP Desktop you will need to enter a code. Make sure you are using Snap XMP Desktop 12.11 or later for MFA support.

  1. Open Snap XMP Desktop.
  2. The message ‘Could not validate account’ appears. Click OK to remove the message.
  3. Enter the password for the user account shown.
  4. Snap XMP Desktop prompts you for a code. Enter the 6-digit code from email or the authenticator app.
  1. If you wish to set your current device as a trusted device, select Trust this device. You will not need to enter the code each time you log in on the same device. If you use a different device or browser, you will need to enter the code.
  2. Click OK to log in to Snap XMP Online.

Change the type of MFA

You change the MFA settings in Snap XMP Online.

  1. Log in to Snap XMP Online.
  2. Select Your account in the side menu.
  3. Select Security.
  1. In the Security tab, click the Configure MFA button.

  2. Click Next.

You can clear the MFA settings in Snap XMP Online, when you no longer require multi-factor authentication.

  1. Log in to Snap XMP Online.
  2. Select Your account in the side menu.
  3. Select Security.
  1. In the Security tab, click the Configure MFA button.
  1. There are 3 options available: None, Email or Authenticator app. Select None to clear the MFA settings.
  2. Click Next which clears the MFA settings. When you log in, you do not need to enter any additional information.

Analysis Table

A table showing the data from a survey, displayed using rows and columns. They usually have column headings across the top of the table and row headings along the side of the table describing the data contained in the table.

Analysis Chart

Charts are a graphical way of presenting and analysing your survey data. A common chart used is a bar chart which displays the results using horizontal or vertical bars where the bar size represents a specific result, often the number or percentage of responses to a question answer.

Analysis List

Lists allow you to itemize the responses to one or more variables in your survey. They usually contain information from open-ended questions that ask for comments or any other free format text.

Analysis Cloud (Word Cloud)

Word clouds display responses to a question in a graphic and provide a quick way to see the most common responses. The words in the cloud appear larger the more popular the response for that word. You can create word clouds from any type of variable, although they are most often used for displaying open-ended literal responses to see how often particular words appear in comments.

Analysis Map

An Analysis Map uses an image that is relevant to the data, such as the map of a country, to show the responses to single and multiple response questions. An example is showing the results based on the geographical area of a country.

Analysis Variables

Analysis Variables are derived from other variables defined in the survey and are used for statistical analysis. These include auto-category variables, group variables, factor analysis and cluster analysis.

Archive

Create a backup copy of a survey.

Attach-It

The ability to let you upload a file photo, audio clip or signature on a survey within our platform, Snap XMP.

Audit Log

This lets you see who has made a change to a survey and what kind of change they made. When you are collaborating as part of a large team, this helps you know which shared user has made a particular change to the survey.

Auto Category Variables

Auto category variables are used to analyse open-ended questions, such as comments, dates, times and quantities by categorising the responses. For example, when creating a word cloud from the respondents’ comments an auto category variable is automatically created to determine how frequently the words are used. The word cloud displays the words that appear most often as the largest so you can see what was most important to your respondents.

Calibration (Scanning)

The process of marking the four tick boxes, which represent the four corners of each page of a questionnaire used in the scanning process.

Carousel

When there is a core question about multiple things – such as “What do you think about these holiday destinations?”. Each destination will appear on separate slides of a carousel. The respondent clicks a rating out of 10 for the first destination then clicks ‘next’ and the second destination will appear.

Code Rotation

To avoid any interview bias, it is possible to rotate the codes of a question, according to pre-defined rules, so that the codes are re-ordered each time the question is shown in an interview. 

Cloning

Making a copy of an item in Snap Surveys. This can be a survey, variable, question, weight, analysis, report. This is equivalent to using “Save As”

Closed Question

Closed questions give respondents a choice of predefined answers. The questions can allow multiple answers. Answers can be presented in random orders to prevent bias. Answers can be masked (see “Masking”), answers can also be set as exclusive, so if you asked which of the following you use: A/B/C and you want to include None as a forth option then set that as exclusive.

Confidence Interval

A confidence interval displays the probability that a parameter will fall between a pair of values around the mean. Confidence intervals measure the degree of uncertainty or certainty in a sampling method. Typically, confidence levels of 95% or 99% provide a good confidence level.

Confidence Level

A percentage to outline how confident you are that the survey results accurately reflect the wider population. Usually, the confidence level is set to either 90%, 95% or 99% confidence that the survey is accurate. If it’s any lower, it could be argued that the sample size needs to be reconsidered before progressing further.

Data Picker

A Data Picker allows the addition of an on-screen clock, calendar, keyboard, or numeric keypad on a questionnaire to help respondents enter their answers.

Database Link

You may have an external file (such as an Excel spreadsheet) of participants’ names and contact details, which can then be uploaded to a survey platform. The platform can then send the surveys out to all contacts in a matter of seconds.

Derived Variables

These are variables where the output is created from the answers to previous questions. For example, if a respondent says they have 5 cats and 6 dogs, a derived variable could be used to show the total number of pets (11). The most common use of derived variables is to group responses into categories for analysis.

Editable URL

When sharing surveys, editing the URL to include your brand name helps participants to trust the link.

Editions

An edition of a questionnaire defines the publication output, such as PC, phone, tablet or paper, and the language of the questionnaire. A questionnaire can be shown in different output formats and languages. The structure of the questionnaire remains the same for each edition, but the appearance, language and the published output can be different.

Errors

One of the three categories of missing data In Snap XMP. Data takes on an error value when it doesn’t fall into any of the remaining categories (of No Reply, Not Asked or Valid).

Filter

Highlight specific answers or results – such as how you might filter a certain brand or shoe size when shoe shopping on an e-commerce website. For surveys, you can filter to see results for specific sub-groups of respondents, for example to show results only for younger respondents.

Folder

Folders are used to store and organise online surveys, templates and sub-folders.

Group Questionnaires

Use group questionnaires when a respondent needs to complete the questionnaire a number of times, each time for a different subject. 

Group Variables

Link similar questions (such as those around someone’s personality in the workplace) into a group so that the group of questions can be analysed as a whole, used as a single axis for tables for charts.

Kiosk Mode

These are fixed stations in a public place for people to give feedback in person, although the survey is run online. When someone completes the survey (or abandons it) the survey will reset in time for the next respondent.

Map Control

Clickable images in a survey that respondents use to answer questions. For example, clicking an image of British flag to indicate their nationality.

Masking

Ensuring only relevant answers are shown based on responses to previous questions. For example, if someone selects 2 out of 5 supermarkets that they regularly shop at, the 3 supermarkets that weren’t selected will not appear in further questions on the topic.

Min/Max Response

In Snap’s validation the min/max response is used in multiple choice questions where the respondent can select more than one answer, to set the range of answers e.g., a minimum of 1 answer but a maximum of 3 answers in a question with 5 choices. The description you’ve given sounds more like a quota – although they only have a maximum number of responses.

Multi-language

The ability to present your questionnaire in multiple languages opens the survey up to a wider audience. This can lead to a better response rate and ensure a broader range of opinions are given.

No Reply

One of the three categories of missing data in Snap XMP. No Reply is used to represent the situation in which a respondent could have given an answer to a question but did not.

Not Asked

One of the three categories of missing data in Snap XMP. Not Asked data represents instances where a question is skipped during an interview due to routing because it is considered irrelevant due to replies already received.

On-premises Servers / Self-hosting Survey Data

Organisations that run surveys may choose to self-host the data on their own premises, perhaps due to different security requirements in their region. This is an alternative to letting the survey platform providers take care of data security.

Open-ended Question

Open-ended questions are questions that require more than simply “yes” or “no” answers – they are designed to delve deeper into the respondent’s opinion.

Paradata

Paradata are system variables containing information collected when the during the interview. You can choose whether to include this data in the survey. Some of this information (such as a respondent password or the language a survey is conducted in) may alter how the survey appears. Paradata is defined in the Questionnaire properties dialog.

Partial Completed

When someone only fills in a portion of a survey. In regular online surveys, the respondent can pick up their responses so far to complete them at a later time. On kiosk mode, the survey will optionally collate a partial response and reset back to the beginning in time for the next respondent.

Participants

The group of people you invite to participate or respond to your survey. (Note – this doesn’t mean they respond.)

Pre-seed

Use data from a database or other source to provide final or default answers.

Preview

Previewing a questionnaire shows how the questionnaire will run in a live interview without saving any response data. This lets you test the questionnaire and make sure it appears in the correct layout.

Question

A specific type of variable used to collect data from the respondent during an interview.

Questionnaire

A form made up of a series of questions that respondents fill in to provide their feedback.

Quota

A limit set on the number of respondents of a particular type who are permitted to complete the survey.

Rating Scale Question

A question that is written in the form of multiple statements that the respondent must select which best suits their feelings, usually to how much they ‘agree’ with a statement. Such as “I strongly agree that I am proud to work for my organisation”.

Ratings Check

This is the name we give to the way our software checks that people can only give one answer for first, second, third etc. For example, to the question “what are your top 3 supermarkets?”.

Respondents

The people who actually take the time to respond to your survey.

Response Pattern

Ensures responses are typed in appropriately. For example, if a respondent is giving their post code, the answer cannot be submitted unless it conforms to the correct styling of post codes. This helps to avoid inaccurate answers and keeps the respondent on task.

Response Type

The type of response determines what kind of data can be entered for each question response. The different response types available are: Single, Multiple, Literal, Date, Time and Quantity.

Routing / Skip Logic

Routing within the survey means the respondent skips any follow-up questions that are not relevant to them. It’s a way of keeping the survey agile and relevant for each respondent.

Screenout

Screening questions are designed to either include or exclude participants from taking the survey. A common screening question excludes participants who work in the marketing industry.

Shares (Shared with you)

Setting up shares allow you to give permission to other users to work or collaborate with you on a survey. Shares are set up in Snap XMP Online.

Slider Control

A clickable, sliding control that can move left and right or up and down to change a setting – such as the volume on a computer. In a survey, a respondent may drag the slider along a numbered list of 1 to 10 to say how much they enjoyed a holiday or a day at a theme park.

Smart Reports

Smart Reports are exclusive to Snap Surveys. They let you dig deep into your feedback and create reports that can be run again and again. Perfect for ongoing projects.

Snap Offline Interviewer

Snap Surveys exclusive app for face-to-face interviews that lets you conduct online surveys while out in the field – even when there is no steady internet connection. Your survey automatically syncs when you get back online.

Survey Template

A new survey that features pre-fixed elements, such as an organisation’s branding and logo, or specific questions. It helps you get your project underway quicker and to keep things consistent.

SurveyPak

SurveyPaks are collections of questions, headings and code frames, which focus on a particular subject area.

Synchronize

Synchronize updates the data responses between Snap XMP Desktop and Snap XMP Online so that you can see the latest data.

Text Substitution

Text substitution is a feature in online editions that lets you change text in your questionnaire based on the responses entered by the respondent to previous questions. This is also known as dynamic text or piping.

Upload

The upload process allows changes that have been made to a survey in Snap XMP Desktop to be transferred to Snap XMP Online. This includes changes to the questionnaire, variables, reports, analyses and data.

Validation

Validation makes sure answers are of the correct type before the respondent moves to the next question. This can be done by providing a pattern or range of valid answers to the question. For example, if you are asking for someone’s age, a number in a suitable range should be input as the response, otherwise they won’t be able to move on.

Variable

Variables represent questions and derived values recording the views, opinions and parameters of respondents for analysis.

Verification

Verification of case data is a method for reducing data entry errors. Usually, data entered by one operator (in the normal way) is verified by another operator who enters some or all of the data for a second time using the Verify option of the Edit menu. The operator entering data first time around could be the one who also verifies their own input but this is not normally recommended since operators have a tendency to repeat their own mistakes. Snap XMP Desktop will prompt for action if errors are found during verification, and will remember which raw data cases have, and which have not, been verified.

Weight

Feedback from surveys should reflect a broad population, but sometimes a sample size is not available, and you may not get a balanced group of people. Maybe there’s more women than men, or an unusually high number of affluent people than you expect. To balance this out, you can ‘weight’ an under-represented segment of respondents and have them count as more people than there actually were. For example, if you had twice the number of women respond than men, then each man’s response can count as two people. You can also weight the survey sample up to the population, for example if a theme park surveys 1,000 people out of 10,000 daily visitors, then each respondent can be counted as 10 people.

This is an area in Snap XMP Online that where you can view and organise your folders, surveys and templates. Your work is the first page that you see after you have logged into Snap XMP Online and where you can navigate to the Build, Collect and Analyze sections of your surveys.

Four standard reports are created for each new survey. (Surveys created prior to build 12.10 contain three standard reports)

  • The Questionnaire report generates a top-line summary report showing the counts and percentages of responses in the questionnaire layout.
  • The Summary report generates a chart, table or list for every question
  • The Summary Tables report tabulates responses to all questions.
  • The Summary Dashboard report is used to generate an HTML summary report with images of each chart, table or list for each question and displayed in a double column format. (This report is available for surveys created using build 12.10 and after.)

You can find these in the Reports window.

Preview and print the standard report

  1. Click Reports ReportsIcon.png on the toolbar to open the Reports window.
  1. Select the report required in the Reports window.
  2. Click the Execute ExecuteIcon.png button on the Reports window toolbar to run the report. This opens the Report Execution dialog showing the report selected in the window title.
Run the report
  1. Click Preview to preview your report on screen.
  2. Close the preview window.
  3. Click the Execute ExecuteIcon.png button on the Reports window toolbar again to open the Report Execution dialog.
  4. In To, select the output type: Printer to print the report or Export to export to a file. If Print is selected the Printer button allows you to select a different printer. If Export is selected you can select the file type.
  5. Tailor allows you to set the page details for a printed report or file details for a printed report
  6. Click OK to run your report to your printer.

Collecting online survey responses

When a survey participant completes the questionnaire their response is automatically saved. The responses are updated in Snap XMP Desktop at regular intervals. You can also manually load the latest responses by clicking the Synchronize Responses button on the Snap XMP Desktop toolbar. You can view the survey responses in the Questionnaire window.

  1. Click Questionnaire QuestionnaireIcon.png on the Snap XMP Desktop toolbar to open the Questionnaire window.
  2. Click Data View Mode DataModeIcon.png to show the questionnaire containing the response data.
  3. In the scrollbar, scroll or click the arrow buttons to view the survey responses.

Enter responses from the paper questionnaire

When you receive paper questionnaires from the participants you need to key the data into your survey.

  1. Click Data Entry DataEntryIcon.png on the main toolbar to open the Data Entry window.
  2. Click Questionnaire mode QuestModeIcon.png on the Data Entry window toolbar to switch to Questionnaire Mode.
  3. Click New Case NewSurveyIcon.png to create a new case. The text showing the case count changes to New case 1 of 1 or increase the number of cases by 1 if there are existing cases.

  1. Select or enter the answer for the first question based on the answer given in the paper response.
  2. Press Enter to move to the next question. Depending on the way Snap XMP Desktop has been set up, a warning message may appear if you press Enter without entering a reply. Click Yes to continue.
  3. In the grid question, you can also use the keyboard. Press 1 to select the first code when the question is selected. Press Enter to move to the next part of the grid question and enter another response.
  4. Continue through each question and when you have completed the questionnaire you are given the options:

  1. Select Continue to save the data and move on to the next case.

When you have completed the questionnaire, you will want to distribute it to your participants so they can respond. Publishing puts the questionnaire into a form that can be distributed to your participants, either by creating a link to complete online or by printing a paper copy.

You can publish the questionnaire in both Snap XMP Desktop and Snap XMP Online. This page covers publishing from Snap XMP Desktop.

Previewing the online questionnaire

Before publishing, you can check that the questionnaire is working in the way you want, before making it available to participants. This is done using the Preview only option, which opens the questionnaire in a browser and you can check how it looks and behaves, without saving the test responses.

  1. In the Questionnaire window, click the Publish icon PublishIcon.png. This opens the Publish Questionnaire dialog.
  2. In Method, select Preview only.

  1. Click the Publish button to run a preview of the questionnaire in a web browser. This allows you to enter some test replies and try out the routing instructions. The test replies are not saved. If you need to make any changes, return to the questionnaire, make the changes and repeat the testing process.

Publish the online questionnaire

Your questionnaire is now ready for publication, a process that creates a version of the questionnaire that is accessible on a web browser.

  1. In the Questionnaire window, click the Publish icon PublishIcon.png. This opens the Publish Questionnaire dialog.
  2. In Method, select Publish without preview. (There is also the option to Publish with preview that allows you to preview and test the questionnaire at the same time as publishing.)

  1. Click the Publish button. This publishes all online editions, such as PC, Laptop, Tablet or Phone.

Next steps in Snap XMP Online

After publishing the questionnaire, log in to Snap XMP Online, select the survey, then click the Collect link.

Here you can:

  • Publish and print the questionnaire
  • See the interview URL
  • Edit the interview URL
  • Preview the questionnaire
  • Copy the interview QR code

You can upload participants from a spreadsheet and send invitations to them.

Start interviewing when you are ready for the survey to go live.

Printing the paper questionnaire

When distributing paper questionnaires, you can check the layout is correct using print preview, before printing.

  1. In the Questionnaire window, click Print Preview PrintPreviewIcon.png. This opens a print preview of the paper edition. Use the navigation arrows in the Printing Options dialog to view different pages.

  1. Click Number of copies to enter the number of copies to print.
  2. Click Printer setup and select the printer you want to use to print or print to a file.
  3. When you are ready to print, click Print to print the questionnaire to the selected printer or file.

Snap XMP comes with a large number of different question styles. These range from multi-choice questions to open questions, from free text to numeric answers, from titles and subtitles to notes and instructions.

They are all available for use in Snap XMP Desktop. We have developed a sample questionnaire that shows the different question styles. You can use this questionnaire to see how the questions behave in a live interview.

Snap XMP Desktop comes with style templates that have been created for particular tasks. The Default Web style has been designed for web surveys and includes all the buttons, the colors, the background, the fonts, the drop down lists and the layout for a basic web survey. The survey templates can be customised to your organisation’s requirements. There are also default styles for use on tablets and phones

Add a logo

The new questionnaire created using the supplied survey template named Blank Template contains an image placeholder and a title question.

  1. Double click the logo placeholder to open the Image Properties dialog.
  2. Click Browse to find the logo then click Open to show it in the dialog.

  1. Use Zoom to alter the size of the logo; Colourize Gif to change the color of the image (if available) and Alt text to provide alternative text for the image.
  2. When you’ve made your changes, click OK to return to the questionnaire
  3. Click SaveIcon.png to save the changes to the questionnaire.

You can add additional images by creating a new title or subtitle question and clicking Insert | Image to open the Image Properties dialog.

Add the questionnaire title

A questionnaire usually includes a heading together with text to explain its purpose and how it should be completed. When a new questionnaire is created using the Blank Template, you are prompted for a title and then a sub-title.

  1. In the area marked “Click here for text”, enter the title of your questionnaire. The style displayed at the top of the window is pre-set to Title.
  2. Press Enter when you have set up your title. A subtitle area is displayed automatically. The Sub Title style is displayed on the toolbar.

  1. Type your subtitle text then press Enter.

The text of the sub-title will automatically move onto a new line as the first line is completed. If you want to force a new line as part of the text of the title or sub-title, use the key combination Shift + Enter.

Add your first multiple-choice question

Multi Choice questions are ones where the respondent can select one or more responses from a list.

  1. After you’ve entered the subtitle and pressed Enter, Snap automatically creates the first question. Otherwise press Enter to start a new question after the currently selected question. By default, this is created as a single response question and the question style is shown as Single Choice on the toolbar.
  2. Select the dropdown list on the toolbar where it says Single Choice and change it to Multi Choice by choosing Multi Choice in the Style selection drop down menu. The shape of the response boxes changes from a radio button to a square.

  1. An area is marked “Click here for text”. Type your question text here.
  2. Press the Tab key on your keyboard and the cursor moves into an area by the first box. Type the first of your answer codes. Press Tab to create and move to the next line.
  3. Continue with the text for the other items and press Tab after each one.

  1. Press Enter to start a new question or Ctrl + Enter if you wish to add an “Other” to the question.

Including an “other” question

When you are creating a list of items it is likely the list will not contain every answer and you may want to collect further information from the respondent. One of the supplied question styles is called Other and is used to collect such text. It is designed to appear as part of the main question with its list of codes.

  1. When you complete your list of choices, press Ctrl + Enter to add an Other style question after the Multi Choice question. The style of an Other question contains a question text label and a text box for free format comments.
  2. In the area marked “Click here for text”, enter your question text.
  3. To make the text box larger press Ctrl + +. Press Ctrl + – to make the box smaller.

Add a grid question

A Grid is made up of a series of Single Response questions, which have exactly the same choice of answers, organised in grid rows. Often they ask for people’s attitude towards something. A grid can be set up in Snap XMP Desktop using the styles Grid First and Grid Next.

  1. Press Enter to create a new question.
  2. In the style selection drop down list change the style to Grid First. This will allow you to set up the headings for the first of a series of grid questions.

  1. In the area marked Click here for text, type your question text, for example “How did you rate the following?” Press the Tab key on your keyboard.
  2. The cursor will now move to the list of codes across the top of the first grid question. Type the first of the possible answers, such as “Good”. Press Tab to create the next code. Type each subsequent answer and follow each by pressing Tab. After the last code press Down Arrow instead of Tab.
  3. The cursor will move to the text of the first Grid Label. Type the first item, such as “Speed of service” and press Tab.

  1. This creates the next grid row automatically changing the style to Grid Next for the second and subsequent rows. Type the next Grid Label.
  2. Press Tab to create another grid row or press Enter to complete the grid and move to a new question.

Allow for any free-form comments

An Open Ended question is used to collect free format text, number, date or time. A common use is to provide space for general comments.

  1. Press Enter to create a new question.
  2. In the style selection drop down list change the style to Open Ended. This will allow you to enter free format text as a reply.

  2. To make the box bigger hold down the Ctrl key and press the + key. Press Ctrl and to make the box smaller.

Pick a question from the SurveyPak library

SurveyPaks contain frequently used questions that can be copied directly to a questionnaire, enabling you to re-use questions in different surveys. After adding the question, it can be edited within the questionnaire. The SurveyPaks are available from the Reference window.

  1. Click ReferenceIcon.png on the main toolbar to open the Reference window. Select Window | Tile so that the Reference and Questionnaire windows are arranged side by side. (Make sure any other windows are closed first).
  2. Click the Personal Demographics category in the Reference SurveyPak.
  3. Click the Age topic to display a number of age related questions then highlight the first age question Age of respondent. The question is displayed in the bottom part of the window.

  1. Drag the question from the SurveyPak into the questionnaire. As you move the pointer over the questionnaire, the mouse pointer changes:
    • https://www.snapsurveys.com/help/insert_above.png insert the new question before this question.
    • https://www.snapsurveys.com/help/replace.png replace this question with the new one.
    • https://www.snapsurveys.com/help/insert_below.png insert the new question after this question.
  2. The new question is inserted in the position indicated and adopts the same look and feel defined in your questionnaire. You can make changes to the text or add, edit or delete codes in the list.

  1. To move your Age question, click anywhere on the question. An aqua border appears around the question. You can use the Ctrl + Image: Up Arrow or Ctrl + Down Arrow to move the question. The question is automatically renumbered as you move it.
  2. Click P:\Snap Desktop Help\Snap 12 Word files\SnapSurveys Help Files\Screenshots\QuestionnaireIcons\SaveIcon.png to save the questionnaire.

Add some page breaks

When you are creating a web survey, it is important that respondents do not miss any questions because they are not immediately visible. Inserting a page break starts a new page and separates the questions onto different pages. To introduce a page break you have three alternatives. When a respondent completes the survey they will see buttons at the bottom of each page that help them navigate through the survey.

  1. Click on a question to select it.
  2. There are 3 ways to add a page break:
    • Click the right hand mouse button and select Break|Page Break
    • Press Ctrl + Shift + B to insert a page break above the selected question
    • Select the Break option and check or clear the Page Break box.

  1. Repeating the action toggles the break on and off.
  2. When you’ve added the page break, click P:\Snap Desktop Help\Snap 12 Word files\SnapSurveys Help Files\Screenshots\QuestionnaireIcons\SaveIcon.png to save the changes to the questionnaire.

Add routing instructions

In your questionnaire you often want to ask certain questions to specific groups of respondents only rather than all respondents. This is usually based on the answers they have already selected in previous questions.

 Question routing sets up the questionnaire so respondents are only asked questions relevant to them during completion. Questions that are not relevant to them are skipped.

  1. The multiple choice question, Q1, has an Other open ended question, Q1a. This is only going to be shown when the Other value is selected in Q1. This is achieved using routing.
  2. Click Routing Rules RoutingIcon.png on the Questionnaire toolbar. The Routing Rules dialog is shown.
  3. Click Add to create a new routing rule. The New routing instruction dialog is shown.
  4. In Type, select Conditionally Ask Question click OK.

  1. In the If field, enter Q1=4. The Other question Q1a will only be shown when the Other value is selected in Q1.
  2. Click OK to save the routing rule.
  3. A small arrow appears to the left of the question. Double-click the arrow to edit the routing rule.

Setting up your online account details

Before you can create or view the online surveys in Snap XMP Desktop you will need to set up a link with a Snap XMP Online user account. You will need to enter your Snap XMP Online account details to link the surveys created in this Snap XMP Online account to Snap XMP Desktop.

  1. Close any open surveys in Snap XMP Desktop using File/Close Survey.
  2. Click the Tailor menu and click Online Account to open the Log in to Snap XMP Online dialog.

  1. In the Select Server section there are two options
    • Select Snap XMP Online if your account is run by Snap Surveys. Select the Snap XMP Online server to log in.
    • Select Own Server if your organisation is running Snap XMP Online on their server. Select the server URL to log in.
  2. In the User Details section enter the Email Address and Password to connect to the server.
  3. Check Remember my credentials if you would like the Password to be remembered every time you use Snap XMP Desktop.
  4. Click OK to log in to the online surveys via Snap XMP Desktop.

Creating a folder to help organise the online surveys

Folders help to organise your online surveys. Creating your folders first allows you to create or transfer your online surveys to the place you want straight away.

  1. When you start Snap XMP Desktop the Survey Overview window appears. If it is not open, click Survey Overview SurveyOverviewIcon.png on the Snap toolbar, which opens the Survey Overview window.
  2. On the Survey Overview toolbar, click Online Surveys 5.OnlineSurveysIcon.png to show the online surveys. When you open the online surveys for the first time, you will see one top level folder called Your work.

  1. Click on Your work then right click to show a popup menu and click New Folder.

  1. In the New Folder Name dialog, enter a name for the folder. In the example, the new folder name is ‘Demo Surveys’.

Create a new online survey

  1. Click 1.NewSurveyIcon.png to create a new online survey.
  2. Choose one of the supplied templates as a starting point for the new survey. The Blank Template is chosen by default. This creates a survey with editions for PC/laptop, tablet, phone and paper. Click Next.

In Snap XMP Desktop there are two types of survey; online surveys and offline surveys.

Online surveys are surveys that are available in both Snap XMP Desktop and Snap XMP Online. You can organise them in folders, which are available in both applications. The online surveys are kept up to date and the response data synchronized between the two applications.

Offline surveys are surveys that are available in Snap XMP Desktop only.

Your Snap XMP Online account must be set up before you can use online surveys in Snap XMP Desktop.

Archiving the offline survey

It is highly recommended that you archive the offline survey prior to moving it.

  1. In Snap XMP Desktop, highlight the survey you wish to archive in the Survey Overview window.
  2. Click on ArchiveIcon.png to access the Archive Survey dialog.

  1. A default file name and path are automatically generated, you can change these by clicking Browse
  2. In Options, select Include Raw Data to archive the raw data (.rdf file) as well. (If the raw data option is selected, then the .snpdf file is included in the archive file.)
  3. If you have archived the survey on an earlier occasion, you will be asked whether you want to replace it. Click Yes to replace the file.
  4. A message confirming the survey has been archived is displayed. Click OK.

Creating a folder to help organise the online surveys

Folders help to organise your online surveys. Creating your folders first allows you to create or transfer your online surveys to the place you want straight away.

  1. On the Survey Overview toolbar, click Offline Surveys 6.OfflineSurveysIcon.png to show the offline surveys.

  1. If you can’t find the survey you want to move, click Browse to locate your offline survey. When you find the folder containing the survey, select it and click open.
  2. In the Survey Overview window, select the offline survey that you want to move.

Clone the offline survey as a new online survey

  1. On the Survey Overview toolbar, click Clone CloneSurveyIcon.png to create a copy of the offline survey. This copy is used to move your offline survey to an online survey, leaving the original offline survey untouched.
  2. In the Clone Survey dialog, select Online surveys to create the clone as an online survey. Select Also clone the raw data, if you want to transfer the survey with a copy of all the raw response data.

  1. Click OK. This displays the New Online Survey dialog. In the New Online Survey dialog, you can change the name of the survey and select the folder location for your online survey.
  2. Enter the survey name, if required (for example, Crocodile XMP).
  3. Select the folder where your online survey will go (for example, Demo Surveys, the folder created in Step 1).

  1. Click OK. An information bar is displayed while the survey is cloned. Once complete the Survey Overview window switches to the online survey view with the new survey selected.

  1. You can now delete the offline version in the Offline surveys list.

Using the online survey

Once you have moved the survey, you can use the online survey in both Snap XMP Desktop and Snap XMP Online. When you log into your account on Snap XMP Online you can see the new folder and cloned survey.

Stand alone installation

A stand alone version of Snap XMP Desktop runs the software on a single computer. If you are installing a stand alone version of Snap XMP Desktop use the following instructions to guide you through the installation wizard.

  1. Run the downloaded snapdesktopsetup.exe file
  2. The Snap XMP Desktop installation wizard displays a welcome screen. Click Next to move to the next step.
  3. Enter the installation code provided with your copy of Snap XMP Desktop. If you do not enter an installation code, or if the code entered is incorrect, an evaluation copy of Snap XMP Desktop will be installed. Evaluation copies will only permit you to enter up to 25 cases.
Installing Snap Desktop - customer information
  1. The user name is required. The company name is optional. They are usually completed from settings stored for the current user. If other people use your machine and you do not want them to have access to Snap, then select the option marked “Only for me”.
  2. Click Next to continue.
  3. The next screen displays the software licence agreement. You may only continue beyond this screen if you accept the terms of the licence.
  4. Click Next to continue.
  5. You are asked to specify where you would like to copy the application files and the survey files. Click Browse to change the default settings. Use a drive local to your PC, e.g. C, rather than a drive on a network server; the latter may slow down the start up process each time you run Snap. The setting chosen here does not prevent you from storing surveys on the network.
  6. Click Next to continue.
  7. You are asked which components you wish to install.
  • The options are:
    • Program Files: this is the software and must be installed.
    • Sample Surveys: example surveys to help you get started quicker and the Reference Pak.
    • Images: images to enhance the appearance of questionnaires, tables and charts.
Installing Snap Desktop - select features
  1. Click Next to continue.
  2. Snap XMP Desktop contains dictionaries to support the spell checking process. The language you specify will determine which dictionary is used by default. Note that you can change to a different dictionary at any time within Snap XMP Desktop.
  3. Click Next to continue.
  4. Select the program folder and the installation will place a shortcut in the Start | Programs menu of Windows to facilitate start up of the application. You can select the location of this shortcut from one of the folders listed or create a new one by typing its name in the space provided.
  5. Click Next to continue.
  6. The next screen displays a list of other options.
Installing Snap Desktop - setting the other options
  1. Check the first box to associate the specified file types with Snap. This tells Windows that files whose names end in .adf or .mdf are Snap files. If you open these files they will open in Snap XMP Desktop. Associating files with an application can save time in starting up Snap XMP Desktop. The only reason for not associating these files is if another application that you use also makes use of files that end .mdf or .adf. If this is the case Windows will not be able to detect which is the correct application to use. You should not set any associations and should instead open each file from within the correct application.
  2. Select options that add a Snap XMP Desktop shortcut on your device’s desktop or start menu then click Next to continue.
  3. Confirmation of the type of licence to be installed is shown on the next screen.
Installing Snap Desktop - network installation
  1. Check the drive location (you may need to scroll down to the bottom of the screen to see it) and the name of the licence.
    • If the details are correct, click Next to begin installing the Snap software.
    • If you wish to change the drive location, click Back to return to the relevant screen.
  2. You will be kept informed of progress while the software is being copied to the computer. Only click Cancel if you want to stop the installation.
  3. A screen appears telling you that the installation has been completed successfully. Click Finish to complete the installation.

Network installation

In a network version of Snap XMP Desktop the software is installed on the server, and a number of clients or workstations run Snap XMP Desktop connected to the server. The number of clients is dependent on the Snap XMP Desktop licence that you have purchased.

Installing Snap XMP Desktop on your network requires the following steps:

  • Step 1: Installing Snap XMP Desktop on the server using the Snap XMP Desktop licenses
  • Step 2: Setting client access permissions to share the installation folder
  • Step 3: Installing Snap XMP Desktop on the client computers

Step 1: Installing Snap XMP Desktop on the server

You will receive the Snap XMP Desktop software by download.

If you are re-installing on the server you must ensure that all users are logged out of the program before starting the process.

  1. Run the downloaded snapdesktopsetup.exe file
  2. Click Next to continue.
  3. The Snap Surveys licence agreement is displayed. You may only continue beyond this screen if you click on Yes to accept the terms of the licence. If you select No then the installation will be cancelled.
  4. Enter the installation code provided with your version of Snap XMP Desktop. If you have multiple installation codes, you can enter any one of them. You will be able to add the others later in the installation process.

If you do not enter an installation code, or if the code entered is incorrect, an evaluation copy of Snap XMP Desktop is installed.

  1. The server shows a list of licences currently available, including the one currently being installed. If this is the first (or only) Snap XMP Desktop licence then it is the only one displayed.
Installing Snap Desktop - change licence
  1. To add further licences, click Add. For each new licence you wish to add, you are asked for the 20‑character installation code.
    • Enter a default name for the licence.
    • The password is optional, but if you enter one, then it is requested during the installation process on the individual workstations.
    • The Modify option allows you to change the settings for an existing licence. This may be because you wish to change the name or password.

  2. You are prompted to confirm where the software should be installed. Use Browse to change the default file location. Once you have selected your desired location click Next.
  3. You are asked which components you wish to install.
  • The options are:

    • Sample Surveys: example surveys to help you get started quicker and the Demographics and Lifestyles Survey Pak.
    • Images: image files to enhance the appearance of questionnaires, tables and charts.
  1. Click Next to continue.
  2. Confirmation of each licence to be installed appears in the next screen. Check the drive location (you may need to scroll down to the bottom of the screen to see it) and the name of the licence.
    • If the details are correct, click Next to begin installing the Snap XMP Desktop software.
    • If you wish to change the drive location, click Back to return to the relevant screen
  3. You will be kept informed of progress while the software is installed on the network server. Do not click Cancel unless you want to stop the installation.
  4. A screen appears telling you that the installation has been completed successfully. Click Finish to complete the installation.

Step 3: Installing Snap XMP Desktop on client computers

When Snap XMP Desktop has been installed onto the server, you can then install Snap XMP Desktop onto the client computers, according to the terms of your licence.

If you have a fixed user licence the workstation installations are limited to the maximum permitted for the licence. The users are “fixed” to a single workstation Once this limit has been reached further installations will only be possible if you remove Snap XMP Desktop from one or more workstations.

If you have a concurrent user licence, you can install the software on any number of workstations but can only use the maximum number simultaneously. Once this limit has been reached, one user must close their copy before another user can start Snap XMP Desktop.

  1. At the client machine, using File Explorer or similar application, browse to the location of the network installation share created when installing Snap XMP Desktop on your network server. Locate the Netsetup Folder and run, using double-click, the file Setup.exe.
  2. The Snap XMP Desktop installation wizard begins by displaying a welcome screen. Click Next to continue.
  3. The next screen displays the software licence agreement. You may only continue beyond this screen if you accept the terms of the licence.
  4. The installation wizard completes your user name and company name based on the settings stored in your machine. You may edit these if required, but this does not change the settings held on your machine and Snap Surveys does not use the information.
  5. If other people use your machine and you do not want them to have access to Snap XMP Desktop then select the option marked “Only for me”. Otherwise you are advised to make Snap XMP Desktop available to all users of the machine.
  6. If more than one licence is available you are asked to select which licence to install. If only one server licence is available this step will be omitted. Select the licence that you wish to install. If a password was applied to this licence at the network installation stage, you will be prompted for the password.
  7. You are asked to specify where you would like to place the application files and the survey files. Click Browse to change the default settings. The setting chosen here does not prevent you from storing surveys on the network.

Modifying a licence

To make changes to the configuration of the software, e.g. adding or removing Snap XMP Desktop components, increasing the number of users, changing the name of a licence or adding/changing a password (Network version only) you need to use the Windows feature for modifying software:

  1. Select Start | Settings | Apps (In older versions of Windows this may be Start | Settings| Control Panel)
  2. Locate Snap XMP Desktop and select it.
  3. Select Modify, the Snap XMP Desktop installation wizard begins.
